**The role and what we are looking for**
The Executive Assistant is responsible for the provision of clerical, secretarial and administrative support to the Chief Experience Officer and the Chief People & Culture Officer within Capricorn. This service-oriented position operates within a very busy environment where excellent organisational skills and a high degree of responsiveness and forward-thinking are critical in order to meet departmental demands in a timely manner.
**Key Accountabilities**
**Executive Support**
- Coordinate the executives' calendar ensuring priority is given to key activities and requests.
- Prepare minutes, agendas and other documentation as required by the reporting executive.
- Provide administrative support to the executive and business unit.
- Use appropriate discretion in the absence of the reporting executive to refer urgent matters to the appropriate senior executive and inform the reporting executive of important developments.
- Communicate on behalf of the reporting executive to other executives or staff as directed or required.
**Business Processes**
- Maintain reporting executive's records management systems and calendars.
- Develop appropriate systems, procedures and controls to enhance the accuracy, timeliness and presentation of the executive's work in the executive's managerial and management reporting functions.
- Administrate and maintain key technology systems as directed by
- Establish and maintain appropriate systems of work.
**Business Arrangements**
- Organise functions and catering.
- Arrange any travel requirements for the executive and business unit
- Reconcile business expenses as required
**Knowledge & Skills**
- High level of discretion and maintaining confidentiality.
- Strong attention to detail excellent written and verbal communication skills.
- Excellent understanding of Microsoft products.
- Proven success in booking large events including venue, accommodation and flight bookings.
- Flexible, dynamic and independent work ethic to manage a constantly changing environment and schedule.
**Experience**
- Minimum 3 years experience within a similar role.
