**Division Responsibilities**

The Commonwealth Chief Nursing and Midwifery Officer (CNMO), makes a key contribution

to a range of nursing, midwifery, health system, health workforce and education issues. The

CNMO Division (CNMOD) provides high-level policy advice to the Minister for Health, the

Executive and staff within the Department of Health. Working across the Department the

CNMOD provides advice as well as contributes to policy and programs from a nursing and

midwifery perspective in key areas including primary care, mental health and aged care. The

CNMO and advisers also take a leadership role at national and international levels to build

strong and enduring working relationships with a wide range of stakeholders, including

State/Territory health departments and their nursing and midwifery offices, other

departments and agencies, academic institutions, professional organisations and employer

and consumer associations.

**Key Responsibilities**

The Executive Assistant will provide a range of high level administrative and executive

support services to the First Assistant Secretary and the division which includes but is not

limited to:

- acting as the first point of contact for the FAS, including greeting visitors, receiving

of customer service to all staff and external parties
- bringing priority matters to attention of the FAS for action as appropriate
- working with the Executive Officer (EO) to provide coordinated and highly

professional support to the SES and the division
- undertaking secretariat work for committees managed by the CNMO including

meeting preparation, minutes and management of members paperwork
- monitoring the group inbox as required and adding items to the Divisional workplan

where necessary.
- managing the FAS diary and calendar including coordinating meetings with internal

and external stakeholders and ensuring the FAS has all required information for

meetings
- establishing strong working relationships and delivering a high standard of customer

service
- assisting, mentoring and effectively engaging with other Executive Assistants within

the group to foster a strong team focus
- liaising with internal staff and external agencies on matters relating to the work area
- assisting with preparation of more complex documentation (e.g. submissions, briefs,

reports and other correspondence) in accordance with departmental guidelines
- initiating and ordering supplies and equipment, processing accounts for payment

and coordinating, collecting and analysing information for monitoring purposes
- developing appropriate systems, procedures and controls to enhance the accuracy,

timeliness and presentation of workflow within the group
- providing advice, organising, scheduling and coordinating all travel arrangements,

accommodation and supporting documentation for the FAS
- undertaking filing and records management functions ensuring records are accurate,

complete and are managed in accordance with departmental policy
- assessing and prioritising correspondence and delegating as appropriate within the

division to ensure timely and effective business operations
- coordinating divisional administrative tasks (e.g. phone lists, leave register, senate

estimates responses, property and accommodation)
- drafting and responding to less complex correspondence on behalf of the FAS
- identifying opportunities for effective resource use and improved administrative

processes and practices within the division
- adhering to the APS Values and Code of Conduct
- demonstrating capability in line with the APS Integrated Leadership System (ILS) and

Work Level Standards at the APS 5 level.***
