Receptionist/administration Assistant

We are a busy Psychology Clinic based in the inner South Eastern Suburbs of Melbourne looking for an Administration Assistant to join our team. We are after a mature, responsible individual with great communication skills and customer service skills, as well as be able to work well under pressure. This is a job shared position.
**Some tasks and responsibilities may include**:
- Maintaining calendar, scheduling meetings, and booking appointments.
- Replying to Bookkeepers, managing expenses, and bill-paying.
- Help keep schedules and routines.
- Sorting documents and materials into our online folder structure.
- Answers telephone calls and taking detailed messages as required.
- Pro-actively chasing up the required documentation and information as needed.
**You will need to have**:
- Ability to take initiative with little supervision working both autonomously and collaboratively
- An uncompromising attitude towards discretion and confidentiality
- A keen eye for detail and accuracy and strong proofreading skills
- Have sound organizational and time management skills with the ability to prioritize and reprioritize at short notice
- High-level problem solving, research/investigation and analytical skills
**Desired Traits**:
- Previous experience in a similar role
- Ability to take initiative with little supervision working both autonomously and collaboratively
- Strong interpersonal skills including, negotiation, diplomatic, assertive and empathetic with a high degree of emotional and social intelligence in all aspects of the role
