Our client, a large hospital in Parkville, has engaged Milestone IT to assist them in finding a Purchasing Officer for their Project Office. The Purchasing Officer will play a key role in supporting the hospital's procurement and purchasing functions, including invoicing, purchasing, and procurement activities. This is initially a 3-month contract position with the potential for a permanent position based on performance and business needs.

Key Responsibilities:

- Process purchase orders, invoices, and procurement requests in accordance with the hospital's policies and procedures.
- Liaise with suppliers, vendors, and internal stakeholders to obtain quotes, negotiate pricing and terms, and ensure timely delivery of goods and services.
- Maintain accurate and up-to-date records of procurement activities, including purchase orders, invoices, receipts, and contracts.
- Review and verify invoices and other financial documents for accuracy, completeness, and compliance with procurement policies and procedures.
- Assist in the preparation of procurement reports and provide data analysis as needed.
- Collaborate with other departments within the hospital, including Finance, Project Management, and Supply Chain, to ensure smooth and efficient procurement processes.
- Monitor and manage supplier performance, including evaluating vendor performance, resolving issues, and conducting vendor audits as necessary.
- Stay updated with relevant procurement regulations, policies, and industry best practices, and ensure compliance with procurement laws, regulations, and hospital policies.
- Participate in procurement-related projects and initiatives as assigned.
- Provide excellent customer service to internal and external stakeholders, responding to inquiries, resolving issues, and providing timely and accurate information.

Qualifications:

- Minimum of 2 years of experience in procurement or purchasing roles, preferably in a healthcare or related industry.
- Strong knowledge of procurement principles, practices, and regulations, including purchasing, invoicing, and procurement processes.
- Experience with procurement software and tools, as well as proficiency in MS Office Suite (Word, Excel, Outlook).
- Excellent organizational skills, with the ability to manage multiple tasks, prioritize work, and meet deadlines.
- Strong attention to detail and accuracy in data entry and financial document processing.
- Excellent communication skills, both written and verbal, with the ability to effectively communicate with internal and external stakeholders.
- Ability to work independently and collaboratively in a fast-paced and dynamic environment.
- Professionalism, integrity, and confidentiality in handling sensitive information.
- Relevant certifications, such as Certified Professional in Supply Management (CPSM) or Certified Purchasing Manager (CPM), are a plus.
