Hays Ballarat is currently partnered with a State Government Agency who is seeking an energetic, organised, reliable and experienced Executive Coordinator for short-term temp cover from 9th Jan 2023 - 17th Jan 2023.

**Your new role**

The Executive Coordinator position can be 100% on site in Ballarat OR have the flexibility to be hybrid (both working at home and in the office) OR 100% work from home. This position provides executive support to the Deputy Secretary, the leadership team, and plays a key role in ensuring the efficient, effective, and collaborative operations of the Office of the Deputy Secretary.

Reporting to the Head of Office, the role manages the Deputy Secretary’s day-to-day activities, liaises closely with the Office of the Deputy Secretary, senior executives, the Minister’s office, external stakeholders, and key staff, and works to ensure administrative support functions are delivered to a consistently high standard with a focus on continuous improvement.

Your responsibilities may include:

- Manage the smooth operation of the Deputy Secretary’s day-to-day and forward planned activities, providing high quality administrative and corporate support.
- Build and maintain productive relationships with a wide range of stakeholders and partners, including the Office of the Deputy Secretary team, the Office of the Secretary, other departmental executives and their offices, ministerial staff, business representatives and other agencies.
- Coordinate the day-to-day business processes, including briefings and meetings; and coordinate the Group’s administrative support network to further strengthen collaboration and team culture.
- Coordinate management and governance meetings, stakeholder meetings and other key events, including agenda preparation and follow-up on action items.
- Work flexibly and collaboratively to support the delivery of a range of activities, management of projects and events, and the implementation of continuous improvement initiatives, to maintain high standards of administrative functionality.

**What you'll need to succeed**

To succeed, you will need:

- Exceptional communication skills, both written and verbal
- Experience in development of succinct and clear briefings and documents (reports, minutes, papers)
- Proven ability to manage competing priorities, clarifying problems and identifying solutions
- Excellent planning and organisation skills with the ability to operate independently
- Demonstrated initiative and accountability
- Experience in Government desired
