**The responsibilities of the position include**: - Provide a high level of executive support to the Deputy Director-General such as; providing high level administrative support, taking meeting minutes when required and other administrative tasks as directed by the Deputy Director-General. maintain the Deputy Director-General's electronic diary, including the organisation of meetings and relevant meeting papers, accommodation and travel arrangements; and screen and interpret telephone calls redirecting enquiries to the relevant unit where appropriate. coordinate, examine, disseminate, monitor and track incoming and outgoing communication and correspondence. liaise with the Minister's Office, Office of the Director-General, senior management, and with officers at all levels within the Department, and other public and private sector organisations in relation to the Office of the Deputy Director
- General's activities. assist the Deputy Director-General and Principal Advisor with project work as required and provide high quality advice to staff at all levels on procedures and administrative standards of the Office and Department. develop, implement and maintain a records management system involving systems, registers and processes as required within the Office of the Deputy Director-General. This will include managing both electronic filing systems as well as the ongoing maintenance of physical record keeping. Assist in the development and processing of briefing notes, executive correspondence and ministerial requests using the Mincor system. Provide project and administrative support to various projects being conducted by the Office of the Deputy Director-General. This may involve collating, researching, and preparing information on a range of organisational issues. Coordinate the reporting of sensitive and confidential information. Establish and maintain productive working relationships within the business, across the department and across Queensland Government. Demonstrate professionalism and be an enthusiastic contributor to the office the Deputy Director-General, Public Works culture.
