**JOB DESCRIPTION**:
**About the role**

To provide all the administration functions required for the efficient operation of vehicle maintenance administration. This role requires good communication skills with Managers, Supervisors, Equipment Operators and Workshop Staff.

**What you’ll do**
- Answering the telephone, handling enquiries and relaying messages.
- Maintain training & licensing register for area.
- Word processing.
- Ensure all records are kept and well documented.
- Be available for reasonable overtime.
- Processing of time and attendance records for submission to payroll in a timely manner.
- Reconciliation of Payroll to Work Order labor hours.
- Ensure all major expenditure is approved before purchase.
- Raising purchase requisitions for Inventory and receipting into systems (Unibis System).
- To maintain quality and urgency in the work performed.
- Work at different locations as required.
- General clerical duties and assistance as required.
- Misc. functions as requested by the Central Administration Supervisor and or hierarchy above.
- Reporting of hazards in the workplace, and within defined levels of authority, addressing these hazards in an appropriate manner.
- Actively participate in the occupational health and safety program by:

- Follow Work Instructions, Procedures and Codes of Practice for the safety of all employees and to minimise risks in the workplace Participating in the safety improvement program.
- Participating in OHS improvement initiatives.
- Undertaking training to improve competency.
- Reporting and Investigating Accident / Incident and Near Hit incidents as they occur.
- Be responsible for the safety, cleanliness, and presentation of the work area.
- Wearing and promoting the wearing of appropriate Personal Protective Equipment (PPE).
- Working within Environmentally friendly work practices.
- General purchasing requirements to support workshops, e.g., Stationary, Uniforms etc.

**What you’ll bring**

**To succeed in this role, it is expected that you will have**:
**Knowledge/Experience**
- 5+ years’ experience in administration roles.
- Experience in similar industry and or similar functions.

**Technical/Professional Skills required**:

- Analytical skills.
- Competent in Microsoft office suite.
- Understanding the components of costs, and cost containment.
- Good numeracy and literacy.
- To maintain a customer focus through the operation.
- Maintain regular communication with superiors and the workforce.
- Able to work effectively without direct supervision.
- Computer skills and data entry experience using Microsoft products.
- Honesty and integrity.
- The ability to see the inter-relationship of duties and responsibilities.

**Qualifications Required**
- Secondary: High School Certificate.
- Tertiary: Courses in typing, computers, store handling and general administrative functions

would be essential.
- Microsoft Office - Excel, Word, Outlook.
