We are looking for a Japanese Speaking Office Manager for our client that is a global company in West of Sydney. You will organise and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring prominent levels of organizational effectiveness, communication, and safety. Office manager responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors, and providing general administrative support to our employees.

**Responsibilities**:

- Manage all department office administration support which includes, the Data Entry, Receiving, Inventory Management, Order Desk and assisting the Sales Department.
- Provides administrative support for the Senior Manager, including assisting in coordinating efforts of departmental staff ensuring mínimal overlap, following up on work and progress in pending matters to ensure timely reply and action or completion.
- Coordinate and ensure that all sales orders are prepared for timely deliveries; and handling situations that do not require the Senior Managers attention by following departmental and company procedures and standards.
- Coordinate with department managers, senior managers regarding office operations daily to ensure operational efficiency.
- Organizes and maintains departmental personnel files; customers files and ensures that all paperwork is properly prepared and filed.
- Manage any ad-hoc duties requested by the manager.
- Ensure that the employee receives proper training, monitoring the quantity and quality of the employee's work, conducting performance appraisals, developing growth plans, and when necessary, counselling and terminating employees.
- Maintains office administration budget and submits expenditures for proper approvals.
- Ability to analyse and determine operating and logístical needs within the department.
- Respond to multiple administrative inquiries from customers, and subordinate staff.

**Requirements**:

- Part or direct experience as an Office Supervisor/Manager, Admin Supervisor/Manager or Office/Admin Team Leader or similar
- Staff management experience
- Knowledge of Office Administrator responsibilities, systems, and procedures
- Proficiency in MS Office (MS Excel and MS Word, in particular)
- Direct experience with office machines (e.g. fax machines and printers)
- Excellent time management skills and ability to multi-task and prioritize work.
- Diligence and problem-solving skills.
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a demanding environment
- An inventive mind with an ability to suggest improvements.
- High School degree: additional qualification as an administrative assistant or Secretary will be a plus
- Must have full working rights in Australia.
