**About the Role**:
- Provide coordination of secretariat services to ensure organisational consistency
- Provide efficient and timely production of agendas and business papers for Councillor Briefing Sessions, Ordinary Council Meetings, Audit Risk and Improvement Committee, and support for all other committee meetings
- Facilitate the distribution of minutes and Council resolutions in a timely manner
- Provide out of hours administrative support through attendance and minute taking at Council and other committee meetings
- Liaise with community and staff regarding outcome of matters considered by Council and advise on meeting frameworks and procedures
- Ensure staff involved in preparing reports and those with secretariat responsibilities, are appropriately trained in relevant systems
- Ensure compliance with relevant legislation concerning Mayor, Councillors & Council meetings
- Provide support for the development and scheduling of Councillor induction and ongoing professional development requirements
- Manage notification, workflow and updates of Council resolutions and reporting requirements
- Maintain relevant Secretariat policies and procedures
- Promote information sharing and knowledge transfer to drive evidence-based decision-making, enhance capability and optimise capacity
- Event organisation and coordination of functions and meetings within and outside of Council, including coordination of civic functions under direction from the EA to the CEO, Mayor and Councillors
- Support administrative practices, event management and onsite business hours staffing requirements within the Executive Office to optimise efficiency and support the delivery of quality outcomes and continuity of services
- Review and manage incoming CRM items assigned to the Executive Office
- Provide general support and backup for the Executive Assistant to the CEO, Mayor, and Councillors
- Assist in the preparation, collation and coordination of reports, presentations, correspondence for the Executive Office
- Contribute to the performance of Council: demonstrate professional conduct, make the best use of knowledge, experience and skills and be accountable for own decisions and actions
- Contribute to a safe workplace: comply with legislative and organisational requirements and be accountable for own decisions and actions
- Maintain the highest degrees of professionalism and confidentiality as required.
**About You**:
To be successful in this role you will have:
1. Certificate IV qualification or above, in Business Administration or a related discipline with demonstrated contemporary experience in a similar role; or substantial contemporary experience in a similar role to support contemporary knowledge
2. Demonstrated personal attributes including initiative, ability to work under pressure and a responsive and helpful attitude
3. Demonstrated high level oral and written communication skills and attention to detail
4. Well-developed communication, organisational and interpersonal skills
5. Commitment to maintain privacy and confidentiality at all times
6. Experience in end to end organisation of meetings, and ability to manage multiple tasks and projects to meet conflicting deadlines
