**The Opportunity**:
- Lithgow City Council _has an exciting opportunity for a temporary **Executive Assistant of Infrastructure and Economy (Maternity Relief) **to join their team for a period of up to 24 months.
Reporting to the Director of Infrastructure and Economy you will provide customer service; answer telephone enquiries and provide general clerical and word processing support for the Director and Infrastructure and Economy Division. You will be provide accurate information via Council documentation to internal and external customers.
The position holder will provide secretarial support to Council’s Director Infrastructure Services and Infrastructure Services Division and maintain Council’s Cemetery records and provide administration and coordination for burials.
**_ This position will be required to attend meetings outside of normal hours._**
More specifically, your duties will include (but will not be limited to):
- Provide secretarial and administrative support to the Director Infrastructure and Economy and Infrastructure Division; Type and prepare reports and other documents, prepare correspondence for approval and registration of outgoing mail, receive correspondence - review, refer, investigate and resolve as appropriate, ensuring completion of achieved documents in a timely manner
- Maintain cemetery records for those cemeteries under the care of Council administration
- Assist with the preparation of Council documentation and meetings as directed; prepare and manage media releases, advertisements and other notices as required, assist with the preparation of Council reports as directed, prepare reports and correspondence for Council as directed
- Organise Civic Receptions/Functions including the preparation of guest lists/speakers, processing of invitations, organising catering requirements, preparing presentations as required and processing any other arrangements (i.e. travel/accommodation) required for the function
- Prepare agendas and minutes and provide executive support to any additional Committee Meetings as required

**About you**:
- Qualifications/Certificate II in word processing or business administration; or related areas
- Relevant work related experience
- Experience in the supervision of staff and interdepartmental collaboration
- Typing speed of 50 wpm with 95% accuracy
- Thorough working knowledge of Microsoft Office programs including Word, Excel, Access and PowerPoint
- Comprehensive verbal and written communication skills
- Demonstrated organisational and time management skills
- Ability to maintain confidentiality at all times
- Exceptional customer service skills and the ability to handle difficult people
- Demonstrated commitment to the principles of honesty and integrity
- Commitment to Work Health and Safety
- Class C Drivers Licence
In addition a suitable applicant would have:
- Experience in minute taking Experience in agenda/business paper preparation and follow up
- Competency in the use of Finance One to obtain financial reports
- Experience with the management of cemetery records
- Experience with ECM (Records Management System)
