**About the role**

As an Administration Officer specialising in rostering and scheduling, you will play a vital role in ensuring the seamless operation of our aged care facility. Your primary responsibility will be to manage and optimise staff rosters, and to ensure that the right personnel are scheduled efficiently to provide exceptional care to our residents. This role requires excellent organisational skills, attention to detail, and the ability to work collaboratively with multiple business units.

Reporting to the Residential Services Manager, this is being offered as a full-time role with general working hours between 9.00am and 5.00pm. The successful applicant will take complete ownership of the rostering function at the Gaynes Park Manor site and provide direct leadership to the reception team.

As we continue to grow, we are seeking a dedicated and detail-oriented Administration Officer (Rostering and Scheduling) to join our team and support our commitment to excellence.

**Key Responsibilities**:

- Forward planning and managing the published roster into the day of operation plan and within required timeframes.
- Collaborate with varying business units to assess staffing needs and resolve any rostering conflicts or issues that may arise through the utilisation of the Resource Plan.
- Coordinate and communicate changes to staff schedules, ensuring all team members are informed promptly and clearly.
- Monitor and track staff attendance, leave requests, and timesheets, and address any discrepancies in a timely manner.
- Assist with the recruitment and onboarding process, ensuring all new staff members are adequately oriented into the rostering system.
- Collaborate with site management on recommendations on workforce optimisation and recruitment requirements.
- Generate relevant reports and provide data-driven insights to management and relevant departments regarding rostering efficiency and staff allocation.
- Proactively identify opportunities for process improvement and recommend strategies to enhance scheduling practices.
- Efficiently planning training and maintaining liaison with training department regarding requirements for all staff training.
- Ensures quality and compliance against relevant policies, procedures and legislation.

**What we need from you**
- Proven experience as an Administration Officer or similar role, with a focus on rostering and scheduling (aged care sector experience is advantageous).
- Strong understanding of rostering software and scheduling systems.
- Excellent organisational and time management skills with the ability to prioritise tasks effectively.
- Exceptional attention to detail and accuracy in record-keeping.
- Strong communication and interpersonal abilities to work effectively with staff at all levels and our residents.
- A high-level of computer literacy, including the ability to learn new systems and programs efficiently.
- Demonstrated the ability to support, mentor and coach team members in order to increase capability at a site level and aid in professional development.

You’ll also need some more practical things:

- An ability to obtain a Police Clearance (Aged Care)
- Evidence of Covid-19 and Seasonal flu vaccinations
