**About the Role**

Electorate Officers play a critical role in the effective functioning of the institution of Parliament and are a crucial support to the supervising Member of Parliament. The role of Electorate Officer requires a high degree of trust, integrity and confidentiality both in supporting the supervising Member and when interacting with constituents and the community.

The role of an Electorate Officer is varied, and the scope of duties is informed by the Electorate Officer’s skills, experience, and the needs of their supervising Member and electorate.

Pursuant to section 30(5) of the _Parliamentary Administration Act 2005_, Electorate Officers are prohibited from performing ‘party-specific activity’ during the course of their employment.

**Responsibilities**

The responsibilities of an Electorate Officer vary depending on the needs of the Member and the operations of the electorate office. The Responsibilities described below are indicative of the duties an Electorate Officer Grade 3 may perform:

- Office Administration and Management_
- Oversee budget management and ensure compliance with policies and procedures specifically the Electorate Office and Communications Budget.
- Manage the administrative functions and day to day operation of the electorate office including setting priorities for work allocation.
- Develop and oversee work plans for various tasks/projects
- Manage the service delivery priorities for the electorate office and recommend resource allocation to the Member.
- Constituent Services_
- Manage complex constituent cases, providing sound advice and drafting complex submissions and correspondence.
- Where authorised by the Member, manage the end-to-end resolution of constituent queries received by the Electorate Office and resolve high level, involved problems for constituents without reference to the Member.
- Develop and maintain an network of government, local and industry contacts and has a detailed knowledge of services available to constituents.
- Media and Stakeholder Engagement_
- Maintain working relationships with the media that is advantageous to the Member.
- Plan and facilitate community consultation involving difficult or sensitive issues.
- Initiates and designs online presence (website, social networking) for the Member.
- Ensures the effective use of online communications for the benefit of the Member.
- Prepares reports, briefs and correspondence and develops recommendations on complex issues that have the potential to impact negatively on the Member.
- Investigates, interprets, and evaluates information as required by stakeholders or the Member.
- Parliamentary Duties_
- Conduct research and analysis of complex topics as required by the Member during parliamentary sittings.
- Provide support to the Member to prepare for Parliamentary sittings.
- Review and brief the Member on relevant bills, legislation, and policy
- Prepare speaking notes and speeches for the Member, ensuring they adhere to the rules of the relevant House.
- Monitor and inform the Member of relevant media during Parliamentary sittings.

**Key Selection Criteria**

1. High level organisational ability, particularly in determining priorities and work practices, and both supervising and performing a broad range of office support duties, often to tight and demanding deadlines.

2. High level written and oral communication skills, with demonstrated ability to undertake complex research, investigations and draft reports, submissions, and complex correspondence.

3. High level commitment and ability to provide the highest level of client service in a challenging environment, providing sound advice and maintaining the strictest confidence on all issues.

4. High level of understanding and ability to provide advice and guidance on government and parliamentary processes.

5. In-depth knowledge of traditional and social media landscape and strong relationships with journalists and media outlets; ability to anticipate impact of a rapidly changing external policy and political environment and provide strategic advice.

6. High level stakeholder engagement skills and proven ability to collaborate with a diverse range of stakeholders from government and peak organisations to local community organisations and constituents.

7. Experiencing in leading and supervising a team, demonstrating sound coaching and mentoring skills and respect for the needs of others.

8. Demonstrated behaviours consistent with Electorate Officer values and Code of Conduct, including the ability to display high levels of responsiveness, integrity, impartiality, accountability, and respect in relationships with others and decision making.

**Job Types**: Full-time, Permanent

**Salary**: From $91,727.00 per year
