We are seeking a capable and motivated Executive Assistant (EA) to support our Governor on a permanent full-time basis to support the team at Parklea Correctional Centre (PCC). The Governor’s EA provides a range of executive, secretarial, and administrative support services across a range of complex issues to support the Governor of PCC in achieving the NSW State Government and MTC Australia objectives.

**Key Responsibilities**:
The following key responsibilities are provided as a general guide in relation to the requirements and objectives of this position, including but not limited to:

- Managing and Disseminating monthly reports to relevant stakeholders
- Managing and coordinating the Governor’s schedule, including arranging, recording, and following up on key functions to be attended (meetings, daily briefings, travel, etc.)
- Facilitate appointments and visits to the office of the Governor
- Ensure agendas and minutes for meetings are recorded and circulated as directed
- Assemble data and draft letters, talking notes, speeches, reports, presentations, prepare documents for signing and other communications for internal and external audiences on behalf the Governor where required
- Create and maintain records and filing systems, which may include confidential / sensitive information
- EMR set up and send to corporate responsibility
- Analyse reports and presentations for the Governor’s attention
- Liaise with the Corporate administration
- Manage communications and respond to enquiries on behalf of the Governor as instructed
- Support the Governor in implementing policies and procedures
- Plan, organise and coordinate activities and events to ensure objectives are achieved within required timeframes
- Provide administrative support to the Deputy Governor and senior management team where required
- Maintain Internal Action plans - Smartsheet
- Enquires line support
- Take responsibility for ordering stationary or any necessary office supplies
- Any other duties assigned by the Governor from time to time
- Complete own work tasks under guidance, within set budgets, timeframes and standards
- Take the initiative to progress own work
- Identify resources needed to complete allocated work tasks
- Seek clarification when unsure of work tasks
- Undertake any reasonable additional duties as directed
- Liaise with all internal and external stakeholders

**Key Experience and Skills**:

- Experience in an Executive Assistant, Personal Assistant or Administrative Assistant role supporting a CEO, Director or member of senior management team is necessary
- Experience of working in a similar role in a correctional environment is advantageous.
- Have initiative, a can-do, positive attitude and would describe yourself as a person who can balance multiple competing priorities, meet timeframes and with limited direction.
- Be highly organised and an adept multi-tasker who can triage and reprioritise tasks.
- Have initiative, judgement, and discretion, recognise issues, and anticipate and respond to the needs of the executive you are working with.
- Be highly approachable and a relationship builder who can negotiate confidently with a range of key internal and external stakeholders.
- Have excellent verbal, written communication, and inter-personal skills.

**Mandatory requirements**:

- Obtain appropriate security clearances from New South Wales Police and Correctional Services New South Wales.
- Must obtain and maintain a National Police Check.
