About us
The Magistrates' Court of Victoria (MCV) is a jurisdiction within the Court Services Victoria statutory authority, and has a long history of providing justice for the people of Victoria in metropolitan and regional courts across the state.
The Court determines in excess of 300,000 cases per annum at 51 venues, equating to approximately 90 per cent of all cases that come before Victorian courts each year. The Court aims to be an innovative, accessible and responsive court that provides quality services to the Victorian community.
About the role
The Administration Officer is responsible for a range of administration functions that support the daily operations of the CISP Remand Outreach Program (CROP). Tasks include the managing of a centralised inbox, referral management and database entry for the CROP across both CISP & non-CISP locations. The role involves regularly liaising with internal and external key stakeholders, requiring sound communication and planning skills.
- Receive and document referrals from the CISP, legal representatives, police, clients, and other sources. These referrals are then allocated to Assessment and Referral Practitioners to complete. The referrals are for clients in custody within Victoria's remand prisons.
- Provide administrative support to managers, team leaders and case managers, including database entry, data collection, filing, archiving, developing and maintaining resource manuals, spreadsheets, and records management.
- Provide administrative support to Assessment and Referral Practitioners including answering enquiries, creating files, managing referral paperwork, assisting to provide bookings for assessments.
- Maintain a working relationship with the other court support services within the court environment.
- Undertake general office duties, including faxing, photocopying, scanning, daily mail, ordering of stationary and maintaining material aid records and requests.
- Daily maintenance of client files and the database system
- Receive and document referrals from legal representatives, police, clients and other sources.
- Other administrative duties as required.

About you
- Ability to provide a broad range of administrative duties including data entry and customer service with a complex client group.
- Ability to provide high quality customer service to a broad range of stakeholders, including program staff, clients, court staff and external services There are no mandatory qualifications for this role. Experience in administration and customer service is highly desirable.
