**Duties and responsibilities of the role include**:
- Ensure an effective and seamless patient journey and experience.
- Efficient management of all patient data, appointments, procedures, results, clinical files, correspondence and accounts.
- Schedule and manage patient bookings in Genie Solutions software for Dr Tan.
- Management of patient accounts, invoicing/receipts, and Medicare billing
- Co-ordinating specialist's diaries: consult locations, presentations, functions, education engagements.
- Coordinate surgery lists, admission and hospital paperwork, including liaising with hospitals, anaesthetists, and assistants.
- Coordinate additional tests with pathology and imaging practices.
- Coordinate Fertility treatment paperwork and procedure times, including liaising with Fertility company, nurses, and administrative staff.
- Coordinate Medical school and Medical student lectures and other commitments.
- Coordinate public hospital sessions and other commitments, including liaising with nurses and administrative staff.
- Editing, proof reading and formatting of transcription letters and clinical reports (typing is outsourced).
- Liaise with, develop, and maintain excellent working relationships between this Fertility Specialist and referring GPs, other specialists, hospitals or Day Surgeries, nurses, allied health, and other stakeholders.
**Qualifications**:
We are seeking an **experienced Medical Receptionist/PA** for this role - someone who is confident at multitasking as you will be working on a front desk reception whilst providing a range of administrative tasks.
To be successful in this role you will need excellent communication, customer service, administration, and English language skills. You will also need to be good at prioritising, problem solving, and willing and eager to learn and adapt. Efficiency, teamwork and flexibility are essential traits as you will need to cover your job-share counterpart, but the same support will be offered in return.
This is a fast-paced medical practice in its growth phase, providing future opportunities for increased hours/days, skill diversification, and promotion into management positions. The scope of this specialist is consultations, in-room procedures, gynaecological surgery, as well as fertility treatment pathways, including IVF.
The medical software we use is Genie Solutions. Experience is preferred, but not essential, and training can be provided.
**Your Attributes**
- 2+ years of experience in medical reception or healthcare administration preferred.
- Excellent communication and interpersonal skills,
- Compassionate, empathetic, enthusiastic, and warm disposition.
- Comfortable with electronic health record systems - preferably Genie.
- Demonstrated problem-solving abilities and a proactive approach to tasks
- You are passionate about providing an exceptional level of customer service.
- You are meticulous by nature, with strong attention to detail, maintain high standards, and take pride in your work outcomes.
- Comfortable handling confidential and sensitive patient information.
- Comfortable with managing patients in challenging circumstances.
- Ability to multitask and Work well under pressure.
- Able to work well independently, but also as part of a small team.
- Ability to connect and interact with people of all ages, background and personalities.
- Enjoy being part of a professional, happy and highly focused team.
- Flexibility to be able to work additional days to cover staff annual/sick leave.
