Role Detail

Based in the Sydney CBD office, with a balanced approach to work from home, the primary focus of this role is to offer executive administration support to the General Counsel, followed by adhoc team support to the small Office of General Counsel team as and when required.

Along with classic EA responsibilities, this role encompasses a broad range of other skills from producing and formatting legal documentation, creating and editing project documents, presentations for the General Counsel and coordinating short and long term projects.

Key responsibilities include:

- Providing administrative and project support to the General Counsel
- Ensuring efficient maintenance and organisation of documentation and correspondence.
- Coordinating receipt of new instructions from internal clients and liaising with the General Counsel for allocation of responsibility
- Proactively managing the General Counsel’s calendar, organising and scheduling client and internal meetings across multiple time zones; booking conference rooms, video conferences, equipment and catering where required
- Preparing correspondence and other documents including agreements, as well as presentations, reports, intranet updates and documentation
- Maintaining an efficient and effective filing system
- Financial management of invoices and attending to payment
- Organising regular team meetings and preparing agendas, taking minutes and following up on action items
- Making travel bookings for domestic and international travel
- Other duties as required for the Office of General Counsel’s priorities and objectives

About You

This varied role offers the ability to stretch and challenge yourself, acting as a confidant and right-hand person to the General Counsel. You will enjoy the diligence required and have an ability to think two steps ahead. Excellence without arrogance will set you up for success along with:

- Solid experience in Legal Secretary/EA role
- Advanced Microsoft Word, Excel, PowerPoint
- Diary management (Outlook)
- Ability to work autonomously and use initiative
- Demonstrated ability to prioritise and meet deadlines
- Excellent written and verbal communication skills
- High level of attention to detail
- Ability to ensure the strictest confidentiality
- Project coordination skills
- Problem solving approach
- Capacity to multi-task and a flexible, proactive attitude
