**Job Overview**
**Key Responsibilities**
**Office Management**:
- Oversee and support all administrative duties in the office and ensure that the office is operating smoothly.
- Manage office supplies inventory and place orders as necessary.
- Develop and implement office policies and procedures to improve efficiency and compliance.
**Administrative Support**:
- Assist with the preparation of reports, presentations, and data.
- Maintain and update company databases and ensure data accuracy.
- Organize and schedule meetings, appointments, and travel arrangements for executives.
- Prepare and distribute meeting agendas, minutes, and follow-up actions.
**HR and Payroll Support**:
- Assist in the recruitment process, including posting job openings, scheduling interviews, and conducting background checks.
- Maintain employee records and update HR databases as needed.
- Support payroll processing by providing relevant data (absences, bonuses, leaves, etc.).
**Financial Administration**:
- Assist with budget preparation and expense tracking.
- Process invoices, receipts, and payments in a timely manner.
- Prepare financial reports and assist with audits.
**Customer Service**:
- Serve as the point of contact for office inquiries and provide general support to visitors.
- Handle customer complaints, provide appropriate solutions and alternatives, and follow up to ensure resolution.
**Qualifications**
**Education**:
- Bachelor’s degree in Business Administration, Management, or related field preferred.
**Experience**:
- Minimum of 2 years of experience in an administrative role.
- Experience in office management and HR support is a plus.
**Skills**:
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
