W Sydney overlooking Darling Harbour is now casting for a magnetic and detail-oriented Groups Manager to oversee and manage room blocks and reservations, following sales techniques to ensure a seamless client experience. The Groups Manager will report to the Director of Sales & Marketing and/or Assistant Director of Events and work closely with the Director of Revenue Management. This is an exciting and unique opportunity to join W Sydney’s team to manage group reservation systems, blocks and processes, in addition to responsibility for soliciting and managing of group reservations sales-related opportunities and presents a fantastic stepping stone into revenue management.
This role directly drives revenue and increases market share across the rooms segment, in addition to upselling each business opportunity to maximise W Sydney’s overall hotel revenue opportunities, in line with W Hotels and Marriott International’s brand standards, to become a hotel market leader in Sydney.
**CORE RESPONSIBILITIES**
- Oversee accuracy of room blocks, reservations, and group market codes.
- Identifies new group reservations sales business to achieve personal and property revenue goals.
- Process all group reservation requests, changes, and cancellations.
- Set-up accurate billing accounts according to accounting policies.
- Upon confirmation of the group, receive all group accommodation handovers from the sales team and understand all the contractual requirements through a handover process with the sales manager.
- Liaises closely with all the relevant Sales, Reservations and Front Office members daily to accurately manage the group blocks and report all information in a timely manner.
- Act as the central point of contact to the customer and work with them, to obtain group information including but not limited to, all arrival and onsite logistics, payment details, special guest requests, VIP information, beverage and food requirements and offsite movements.
- Communicate group block codes and other relevant information back to the sales team.
- Handling and processing group reservations and telephone group enquiries.
- Ensure group bookings are entered and updated into the PMS following correct procedures, reflecting a true picture of the definite and tentative group business. Follow contracted attrition and cancellation guidelines.
- Attend the Group Pick Up Meeting and Groups Operation Meeting to synchronise the business held in CI/TY and the PMS, communicate relevant information to the operation teams in a timely manner.
- Communicate all group information to hotel departments via a Group Resume, information to include but not limited to, designated VIP reservations, group arrival and departure logistics, itinerary, Food and Beverage requirements and group movements, special requests and all other information which will impact the hotel operation. Ensure this information is distributed and communicated in a timely manner.
- Conduct client pre-con meetings prior to group arrival, where necessary, to ensure the smooth arrival and management of groups in house.
- Ensure all group related documents and correspondence is up to date, and a signed contract for all definite business. Ensure all supporting documentation is kept in file for future queries.
- Trace and follow up on all cut off dates, rooming lists, deposits, and other client/guest requirements. Ensure payment and clearance paperwork of deposit monies.
- Be fully conversant with facilities of hotel, including room configurations and restaurant opening and closing times.
- Provide FIT Reservation Support where necessary.
- Welcome and farewell groups that are deemed of a VIP nature and where necessary.
- Ensure the active promotion of Marriott Bonvoy and encourage enrolment for all group guests.
- Allocate group rooms where required and communicate with Front Desk to ensure effective room allocations.
- Troubleshoot and resolve guest issues and concerns or refer to appropriate contacts, based on the type of issue.
- Executes and supports the operational aspects of business booked (e.g., generating proposal, writing contract, customer correspondence).

- Minimum 2-3 years’ experience in reservations/front office within a 5-star/luxury hotel environment.
