The Embassy of Belgium in Canberra is looking for a temporary **Consular Assistant**

**Position: Administrative assistant in charge of elections (local staff) for the consular section**

**Location: Embassy of Belgium, 19 Arkana Street, 2600 Yarralumla, Canberra, ACT**
- **Job Description**_

**As assistant in charge of the preparations for the 2024 elections**, you are the first and main point of contact for the Belgian community regarding election matters. You handle the administrative files of the registered Belgians living in Australia, New Zealand and the Pacific and mainly deal with:

- Registration as voter
- Verify voter registration forms and enter details in the system
- Contact citizens with requests for information
- Other consular matters (passports, certificates, administrative tasks,)

Examples of tasks:

- Inform the Belgian citizens about the documents needed, regulations and procedures, timelines, etc.
- Register files in the appropriate software tools and according to the relevant rules
- Prepare consular certificates and various acts and documents concerning nationality, public records, etc
- Contribute to the organization of elections for Belgians in Australia, New Zealand and the Pacific
- Update various databases, including the crisis database, embassy website with new instructions, etc.
- Draft various communications under the consul’s supervision
- Prepare/complete files for meetings, missions, etc.
- Assist in the organization of activities hosted by the consular department such as information sessions, national day and other celebrations
- **Practical details**_
- Gross monthly salary: 5700 AUD (salary packaging available)
- 6 months local contract (not renewable)
- No allowances for housing costs or holiday transportation
- Estimated starting date**:15 September 2023 **(or later)
- **Selection Procedure**_

After a pre-screening based on CV and cover letter, the selection procedure will comprise an oral test measuring competences in French/Dutch, and English, as well as an interview which evaluates the applicant’s skills and motivation. Eventual administrative questions can be discussed during this interview.
- **Required Degree and Competences**_
- Bachelor degree or relevant experience
- Good command of Dutch and/or French (knowledge of both is an asset)
- Excellent command of English
- Strong organisational, communication and interpersonal skills
- A great sense of discretion, meticulousness and sociability
- A capacity for analysis and synthesis
- Good IT knowledge (Microsoft Office)
- Any previous working experience in government administration, public service, communication, PR, office management will be considered an asset.
