Role Description

Title: Operations Manager

Department: Support and Operational Staff

Location: Georges River Grammar

Reporting to: Principal and Chair of the Board of Directors

Supervises: Operations, including Finance, Administration, Human Resources, Property, Maintenance, Building, IT and Community Engagement

Description: The Operations Manager is responsible for the oversight of all operations of the School

Liaison with: Internal: Teaching and non-teaching staff

External: Parents, Third Party Providers, and professional organisations

FTE: Full Time Permanent

The Operations Manager reports to the Principal and is a member of the Senior Leadership Team and will provide support for various operations within the School to achieve the desired educational and business goals of the organisation. The Operations Manager also reports to the Board of Directors, principally through the Chair.

Role Accountabilities

General
- Ensuring the financial administration, strategic planning, budgets, legal, audits and taxation compliance serves the relevant legislation and the objectives of the School.
- Overseeing preparation of government reporting and ensuring accuracy of data and meeting deadlines
- Responsible for the management and supervision of the administrative and support staff, in matters of proper business practice, salary, compliance with award standards, superannuation, IT and WHS legislation.
- Providing recommendations to the Principal and the Board of Directors, for the improvement of policies and processes, as necessary

Finance
- Assisting the Principal in the leadership and management of the financial operation of the School
- Establishing and monitoring structures and strategies to ensure the effective planning, implementation, reporting, recording and evaluation of financial processes in the school
- Ensuring that the financial administration of the School serves the mission and the Strategic Plan of the School
- Serving as a member of the School’s Finance Committee
- Arranging any finance facilities required by the School
- Ensuring the School’s asset register is maintained
- Mentoring and training the Finance Team to ensure:

- Appropriate financial records are maintained in accordance with the policies of the School, Company Law and audit requirements
- School budgets are prepared and monitored, in liaison with the Principal, Head of Primary, Heads of Department and the Finance Committee
- Preparation of regular reports to the Principal and the Board on the School’s financial position, including such matters as liquidity, loan liability, maintenance liabilities and insurances.
- Effective trading operations, both in-house and outsourced, and reporting to the Principal and the Board on a regular basis as to their viability, accountability, profitability and risk management
- Accurate and timely preparation of all financial reports e.g. GST Returns, Financial Returns and FFPTS Term Returns to meet government requirements and as required by the School Finance Committee
- Liaison with the School Auditors in respect of the audit of the financial statements and ensuring the financial statements are audited and lodged within the prescribed time
- The preparation and dispatch of accounts for fees and other school charges and fee collection and safe custody of school monies
- The School’s debt recovery policies are followed
- Keeping abreast of all regulatory requirements, including attendance at seminars and liaison with the relevant Government Bodies, and the AIS, monitoring the School’s cash flow and arranging for investment of surplus funds

Administration
- Assisting the Principal in ensuring that efficient and effective administrative policies and procedures are in place to support the teaching and learning processes
- Ensuring Support Staff undertake adequate professional development
- Overseeing the administration staff, and other ancillary staff of the School
- Ensures:

- Compliance with legislation and regulations
- Preparation of Statutory Reports
- Oversight preparation for Board and Sub-
