**Summary**:
The Concierge & Facilities Coordinator plays a vital role in ensuring exceptional customer service and smooth operation of facilities. This position involves managing front desk operations, assisting staff, visitors, coordinating facility requests, and customer support. The role requires strong interpersonal skills, attention to detail, and a proactive approach to problem-solving.
**What You'll Do**:
- Support and assist the Facilities Manager and the team with administration requirements.
- Meet and greet clients, guests, and employees in a professional and friendly manner, take visitors to their room allocations, organize refreshments and other activities taking place in communal areas
- Ensuring all visitors are registered in the Visitor Management System
- Ensure attending contractors onsite have authority to work and have provided the correct health and safety documentation to commence work
- Assign security cards in accordance with protocol for all Australian sites
- Manage visitors’ car park arrangements.
- Review and manage courier and postal items both Aristocrat - Ecolab
- Management, coordination, set up and maintenance of meeting rooms including equipment and refreshments prior to the meeting taking place, take coffee orders for guests, place order with the café and deliver.
- Management and coordination of catering bookings - food orders, deliveries,
- Timely notification of any IT/AV/room equipment issues
- The ordering and upkeep of the stationery
- Demonstrate permanent high level of security awareness, knowledge of emergency evacuation procedures as well as general Health & Safety
- Manage facility related invoices to be sent for manager approval.
- Stay updated on industry trends, best practices, and regulations related to facility management and customer service.
**What We're Looking For**:
- Front of house experience is preferred
- Excellent planning and organizational skills
- Excellent interpersonal and professional communication skills
- Strong attention to detail is extremely important
- Able to work under pressure, manage concurrent projects within short time constraints, and work well both within a team and independently
- Positive and pro-active attitude
