**About the Role**
The Rostering Coordinator and Administrative Officer plays a pivotal role in ensuring smooth and efficient delivery of services to clients under the NDIS (National Disability Insurance Scheme) and Aged Care programs.
You will be creating and maintaining rosters and using your in-depth knowledge of the Social, Community, Home Care and Disability Services award to ensure employees are able to provide high quality care within the guidelines of the award. This role requires strong organisational skills to manage staff schedules, address client needs, and provide administrative support to the team.
**Key Responsibilities**:
**Rostering and Scheduling**
- Develop and manage staff rosters in line with client care plans and service requirements.
- Match staff availability, skills, and qualifications to client needs.
- Respond promptly to changes in staff availability, client cancellations, and emergency replacements.
- Monitor and resolve scheduling conflicts while ensuring continuity of care.
- Collaborate with team leaders and management to optimise rostering efficiency.
- Participating in ongoing training of new employees in the rostering system.
- Ensuring all changes and cancellations are actively reflected and communicated for payroll.
**Administrative Support**
- Maintain accurate client and staff records in accordance with NDIS, Aged Care standards, and company policies.
- Manage timesheets, leave requests, and payroll-related data.
- Assist with onboarding of new employees, ensuring all documentation and compliance requirements are met.
- Process client intake paperwork, service agreements, and related documentation.
- Prepare reports, including rosters, compliance summaries, and performance metrics.
**Communication and Coordination**
- Serve as the first point of contact for staff, clients, and families regarding rostering and administrative inquiries.
- Communicate changes to rosters, shifts, and schedules effectively with all stakeholders.
- Liaise with external agencies, support coordinators, and other healthcare providers as required.
- Provide excellent customer service to ensure client satisfaction.
**Compliance and Quality Assurance**
- Ensure rosters comply with relevant industrial awards, agreements, and NDIS/Aged Care standards.
- Maintain confidentiality and data security in all administrative tasks.
- Monitor and document compliance requirements, including worker qualifications, training, and expiry dates.
**Key Selection Criteria**
- **Experience**: Prior experience in rostering, scheduling, or administrative roles within NDIS, Aged Care, or healthcare settings desirable.
- **Organisational Skills**: Ability to manage multiple tasks, prioritise workloads, and meet deadlines in a fast-paced environment.
- **Technical Skills**: Proficiency in using Visual Care or similar rostering software, Microsoft Office Suite (Word, Excel, Outlook), and client management systems.
- **Communication**: Excellent verbal and written communication skills with a strong focus on customer service.
- **Attention to Detail**: Strong accuracy in managing schedules, data entry, and documentation.
- **Problem-Solving**: Ability to resolve scheduling conflicts and adapt to last-minute changes.
- **Knowledge**: Familiarity with NDIS Practice Standards, Aged Care Quality Standards, and award interpretations (SCHADS Award preferred).
**Qualifications and Requirements**
- Certificate III or IV in Business Administration, Community Services, or related field (desirable).
- Current National Police Check or willing to obtain one.
- NDIS Worker Screening Check
- Understanding of NDIS and Aged Care frameworks and requirements.
