**Receptionist / Studio Assistant**

**Job description**

**Responsibilities**:
1. Manage reception to provide highly professional front-line service to incoming callers and visitors by directing them accordingly, taking messages and assisting as much as possible.

2. Manage meeting room & car parking bookings.

3. Assist with client presentations by setting up in-person or online meetings and printing presentation documents.

4. Ensure meeting room facilities are maintained and ready for use throughout each day including any technical and catering requirements.

5. Manage incoming and outgoing mail and couriers.

6. Order stationery, office supplies & weekly groceries.

7. Ensure all office equipment is stocked and maintained.

8. Ensure first aid cupboard is stocked and maintained.

9. General administrative duties including, but not limited to, updating phone lists and contacts, ordering and refilling photocopier supplies, printing file notes, labelling and organising stationery pigeon holes.

10. Project archiving, server archiving & retrieval.

11. Assist the Principal and Directors as required including general admin, IT issues and some personal errands.

12. Provide support to the Finance team as directed (e.g. assist with data input).

13. Liaise with office cleaners.

14. Ensure that the office is kept in a tidy and organised manner including keeping cupboards organised and instructing staff on clean ups and duty rosters.

15. Ensure office kitchens are kept clean and are well stocked daily, including running and emptying dishwashers.

16. Ensure office bathrooms are kept clean and are well stocked daily.

17. Liaise with and co-ordinate product representatives / consultants and obtain quotations.

18. Assist Interiors Team with presentations and materials/furniture sourcing as required.

19. Assist with staff events including masterclasses and presentations.

20. Manage staff functions including weekly staff Friday night drinks, monthly birthday cakes and Family and Friends’ social occasions.

**Skills required**:
1. Be confident and welcoming.

2. Be highly organised with an ability to prioritise and multi-task.

3. Work with accuracy and attention to detail.

4. Possess professional personal presentation.

5. Work unsupervised or with mínimal direction in a team environment.

6. Possess an ability to be flexible, a willingness to learn, show initiative and be a proactive team player.

7. A minimum of one year experience in similar Receptionist role.

8. Intermediate Microsoft Outlook, Word, Excel and Power Point skills with InDesign an advantage.

9. Experience with online meetings using MS Teams, Zoom etc.

11. Excellent communication skills both verbal and written.

12. A positive attitude.

13. Drivers Licence.

14. Dog friendly.
