**Position Title**:
Medical Receptionist
**(Paediatric Outpatient Specialist Clinic and Allied Health services)**
**Prerequisites**:
- An experienced medical administrative officer in medical reception role
- A current Working with Children / Blue Card
- A current criminal record screening
- Basic Life Support training (within the past three years)
- Work rights in Australia or be eligible for such

**Job Description and Scope**:
Duties including but not limited to:
- Answer the telephone in a courteous and professional manner.
- Manage appointments, including cancellation list and ensuring GP referrals are up to date.
- Organising recalls as per clinicians.
- Book and organise staff and/or doctors’ meetings, including team care meetings as directed.
- Receive and convey messages in writing, verbally and electronically.
- Requesting information and transferring information at the requests of patients or clinicians.
- Maintain a high quality of record keeping and filing system of both paper and electronically (faxing, scanning, saving and organising), including highly effective usage of the practice management software employed by the practice (Xestro)
- Ensure high level of confidentiality of medical records (both printed and electronic copies) and patient and practice information.
- Attend to electronic, written and verbal tasks from clinicians in a professional, responsible and timely manner.
- Follow up and generate reports from hard copy or electronic assessment tools (eg. Conners, SRS, ABAS) prior to consultations as per clinician’s requests.
- Fax, scan and file documents.
- Type phone dictation, proofread (if required), format letter and correspondence with high level of accuracy and efficiency
- Prepare and send letters and documents.
- Manage incoming postal mails and outgoing mails.
- Handle cash, EFTPOS and other payments.
- Opening duties including attending to phone messages, opening checklist etc.
- Closing duties including accounts, closing checklist and restocking, cleaning tasks etc.
- Assist in purchasing and restocking of pantry items, grocery and stationery.
- Participate in ongoing professional development activities.
- Contribute equitably to maintaining the cleanliness of the practice.
- Maintain practice dress standards.
- Ensure the practice building, rooms, car park and gardens are clean, tidy and accessible to all.
- Liaise with patients and their families in a compassionate manner and ensuring high level of standard in customer service.
- Liaise with clinicians and fellow colleagues in a professional manner.
- Maintain high level of attention to details.
- Perform any other administrative duties, as required.
Assist the practice manager or directors in management duties, when required.
**Job Types**: Full-time, Permanent
Pay: $50,000.00 - $68,000.00 per year
Schedule:
- Day shift
- Monday to Friday
- Weekend availability
