**About the role**
We are seeking a dedicated and highly organised Executive Assistant to provide comprehensive administrative support to the Executive Director Business Enablement within a not for profit organisation.
This is a busy and challenging role where you will be involved in every facet of the business. If you are a passionate Executive Assistant who knows how to go above and beyond to ensure the smooth running of the Executives professional life, then this could be the role for you
**Key Responsibilities**
- Manage and maintain the executive calendar, scheduling appointments, meetings, and conferences.
- Arrange travel itineraries, accommodations, and logistics for leadership team members.
- Prepare and proofread documents, presentations, reports, and other materials as needed.
- Serve as a point of contact between the executive team, staff, board members and external stakeholders.
- Organize and coordinate meetings, including preparing agendas, taking minutes, and distributing follow-up action items.
- Coordinate logistics for board meetings, committee meetings, and other high-level gatherings.
- Assist in the planning, execution, and tracking of special projects, events, and initiatives led by senior leadership.
- Collaborate with various departments to ensure projects are executed smoothly and within established timelines.
**Skills and Experience**
- Demonstrated experience in a similar role
- Excellent written and verbal communication skills and the ability to draft and send correspondence on the behalf of your Leader
- Experience in minute taking and secretarial duties
- Dedicated to work with exceptional organization skills, and the ability to follow through on all matters
- Ability to work autonomously, be proactive, and think outside the box when faced with issues
- Sound judgement and morals with personal integrity, and the ability to remain calm under pressure

Our client is a not-for-profit organisation that has been providing primary and allied health care services to the communities across south-eastern Melbourne for nearly 50 years. With a holistic approach to health care they work across a variety of services to support healthy living, general wellbeing and social connection. These include specialist medical services, dental and allied health, nursing and counselling services, as well as aged care social supports and disability services.
