**About Us**

We are a Gynaecology practice that has a special interest in pelvic pain, endometriosis and laparoscopic surgery. We understand the importance of providing our patients with support during their health journey. Our practice consists of two Surgeons (and a third coming soon), a Practice Manager and we are now recruiting a part-time Medical Secretary. We are located in Parkville. We utilise Gentu software and ECLIPSE.

Our Practice is located within RWH (Royal Women’s Hospital - Frances Perry House).

**About You**
We are seeking an easy going, flexible and warm experienced Medical Secretary, who loves to shine as our “Brand Ambassador”. Someone who loves to make a difference in our patient’s lives. The main components of the role will be phones, managing consulting sessions, inbox management for all surgeons, some theatre admin duties (including booking, billing and quoting) particularly when our Practice Manager is on leave and handling the Surgeons’ calendars/appointments.

Our Gynaecology paperless practice is seeking a professional, highly organised warm nature and experienced Medical Secretary to complement our existing team. This role would be initially (2 days per week) supporting our team highly likely to increase over time to 3 days per week. This is a fully paperless practice.

We are looking for a Medical Secretary who would love to be part of our modern and progressive practice.

**Our requirements are**:

- Managing Consulting Sessions including meet and greet
- IT savvy - able to troubleshoot, experience with ECLIPSE
- Familiar with medical software such as **Gentu**:

- Being experienced in working with various health funds and Medicare
- Having an unflappable and warm demeanour, being a gatekeeper for both our Surgeons
- Be a great team player - happy to assist others when needed and love working in well-functioning teams - playing to each other’s strengths - happy to be directed by management
- Available to cover leave for other staff - (this is very important)
- Possess excellent organisational skills, outstanding work ethic, punctuality and love adhering to existing processes and procedures
- Displaying outstanding customer service skills, verbally and written - this cannot be overstated
- Proud of your professional manner and presentation and empathy for our patients
- Have a capacity to perform well in a busy environment - must be a skilled multi-tasker
- Happy to perform ad-hoc administration duties for the Surgeons
- Experience with Adobe and Microsoft would be viewed favourably
- In-box management for all Surgeons and practice
- Experience in theatre admin duties such as Billing, Booking and Quoting would be viewed favourably particularly experience in gap billing - training can be provided in time. Predominantly this will be when providing theatre admin relief when our Practice Manager is on leave.

**Experience**:

- Must have minimum two (2) years Medical Secretarial experience
- Private Specialist experience is mandatory - Gynae surgical experience viewed favourably

**Hours/Days**:
Our Surgeons work on a four week cycle, the days will fluctuate during this cycle, but mainly consist of:

- Tuesday, Wednesday’s
- Or Tuesday and Friday’s
- 9:00am till 5:30pm (1 hour unpaid lunch)

When increased to 3 days:

- Tuesday, Wednesday and Fridays
- 9:00am till 5:30pm (1 hour unpaid lunch)

The successful applicant will be rewarded with a supportive and dynamic work environment as well as a remuneration package, dependent on experience, which is well above the award wage.
