Executive Assistant to CEO (6-month contract, with opportunity for ongoing role)

About Youth Activating Youth (YAY)

Youth Activating Youth is a community organisation that supports disadvantaged and multicultural young people through wraparound programs, advocacy, and leadership opportunities. We work closely with community, government, and corporate partners to ensure young people are empowered to reach their full potential.

Role

We are seeking an Executive Assistant to the CEO for a 6-month role, with the opportunity for ongoing employment. This position will play a pivotal role in ensuring the CEO's day-to-day operations run smoothly and efficiently.

Ideal Candidate

The ideal candidate will thrive in a high-pressure environment, keeping calm while coordinating the logistics and priorities of the CEO. They will have relevant experience in administration or executive support, with strong organisational skills and the ability to problem solve creatively. Attention to detail and the ability to anticipate needs are essential.

Responsibilities
  • Coordinate and manage the CEO's workflow and schedule
  • Handle all CEO-related logistics, including travel, meetings, and events
  • Liaise and interact with leadership, partners, and stakeholders both internally and externally
  • Prepare correspondence, documents, and reports as required
  • Support governance processes (e.g., board meetings, agendas, minutes)
  • Undertake other duties as assigned to ensure the smooth functioning of the CEO's office
Qualifications
  • Bachelor's degree or equivalent experience in administration, business, or a related field
  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Strong written and verbal communication skills
  • Proven ability to prioritise tasks and meet deadlines in a dynamic environment
  • Discretion and ability to keep information confidential at all times
  • Prior experience in the not-for-profit, community, or youth sector (desirable)
Contract and Location

Contract: 6 months, with the possibility of an ongoing role

Location: YAY office, Footscray, Victoria
