Flight Training Adelaide Queensland (FTAQ) specialises in ab-initio pilot training for the airline industry. FTA has a long term contract to provide services for the QANTAS pilot training academy.

We have a modern and well-equipped campus and hangar based at Wellcamp Airport, just outside the stunning rural city of Toowoomba in South Queensland. The current fleet comprises of Diamond DA40 and DA42 aircraft.

We are seeking a highly organised and proactive Full Time Management Support Officer who has a genuine love of people and life. You will be the smiling face and first point of contact for all our students, members of faculty and visitors to our academy.

This role is assisting the Aviation Ground School, Business Development, Human Resources, Welfare and Residential Services team on a daily basis.

Reliability, good communication, attention to detail, and the ability to prioritise calmly is essential for success in this role.

The ideal candidate will have a strong background in administration, excellent communication skills and the ability to multitask in a fast-paced environment.

Responsibilities and Duties

Providing an effective and efficient administrative service to the Human Resources Officer (HRO), college management, students, client visitors and to facilitate effective communication support throughout the college at all levels including liaising with the Ground School, WHS, Welfare and Residential Services.

Organise boardroom bookings and Teams meetings on request and maintain the reception area, boardroom, and kitchenette in a neat and presentable state.

Provide polite and professional reception and switchboard services.

Manage incoming and outgoing mail and the purchasing of postal supplies.

Administration of a company administration credit card for travel and exam booking purposes.

Purchase stationery and office supplies for company use.

Assist students with pre-course information and inquiries.

Ensuring the printer room is stocked with paper and laminating sheets.

Administration of company vehicle keys and recording the usage of company vehicles.

Conducting a kitchen supply order as required with the MRMS for the training building.

CASA receipt numbers for license payments.

Issuing library resources to staff and students.

Archiving of documents.

Cut-E (MapTQ) Payment collection, enrolling and long-in creation.

Taking of graduation payments and updating relevant spreadsheet.

All other reasonable administrative duties as approved by the HRO or COO.

What will help you to succeed?

Diploma in Business or equivalent work experience. (Preferred)

Experience in the Aviation industry including experience with CASR Part 42 and RTO/ASQA compliance. (Preferred)

Proven experience as an administration and or reception role, preferably in an aviation environment. (Preferred)

Experience in an education learning environment. (Preferred)

Experience with a Learning Management System (LMS) such as Moodle.

Experience with AeroTrack. (Preferred)

Excellent organisational and time management skills.

Strong written and verbal communication skills.

High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to handle confidential information with discretion.

Strong attention to detail and problem-solving skills.

A confident, friendly personality able to work independently or as part of a team.

High degree of flexibility and self-motivation.

High degree of initiative and the ability to prioritise.

High cultural awareness and understanding.

Pre-Employment Assessment

As part of the selection process applicants will be required to undertake some or all of the following assessments/checks:

Pre-employment functional assessment, which will include a drug and alcohol test.

Australia National Police/Criminal History Check.
