Your role
You will be working in a close-knit team environment to support all aspect of raising and managing the end-to-end Purchase Order process along with assisting in financial reporting and budgeting tasks. You will have the opportunity to work in a flexible working environment and rewarding atmosphere.
The role is to ensure that Purchase Orders are accurately entered into the system in compliance with Departmental policies, statutory requirements and external regulators. This role will also provide general financial administration and support to enable delivery of Planning and Investments reporting accountabilities. This is a unique opportunity to work in Infrastructure and Assets (I&A) division that will provide you with invaluable knowledge, insight and experience into best practice portfolio, program and project management processes, governance, systems and tools.
What You'll Do
As part of the Planning and Investment team within Infrastructure and Assets (I&A), your responsibility is (but not limited to):
- Manage day to day PO requests and ensure that they are entered into the system in a timely and accurate manner.
- Process large volumes of data into the accounting system to enable better forecasting accuracy and reliable month end results.
- Provide a range of financial, administrative and support services to meet the business needs of the team/unit.
- Assist in the development of dashboards to track business improvements, particularly around PO processes.
- Support the month end reporting process with ad hoc tasks.
- Provide all relevant documentation and assist in PO audit queries when they arise.
- Utilise appropriate systems and processes to review, maintain and manage accounting and financial information to facilitate a robust and consistent approach to financial management and reporting across the division, ensuring compliance with Departmental objectives, government policy, accounting standards and statutory requirements.
- Undertake tasks to enable reporting and analysis specific to the team's role in Departmental end-to-end financial planning, budgeting, forecasting and reporting functions to understand and optimise the whole of Department financial position.
- Educate and support relevant business areas to develop financial capability and improve confidence and accountability in financial business decision making in order to promote a consistent financial management approach across the Department.
- Participate in the development of management reporting systems and accounting methods to improve existing procedures and the communication of management information.
- Establish and maintain effective working relationships with key internal and external stakeholders, including senior managers and service delivery divisions to exchange information, obtain cooperation and support and provide financial advice.
- Work effectively with team members towards mutual continued development and to provide feedback to each other on tasks undertaken.
The successful candidate must demonstrate strong capabilities in:
- Coordinating and communicating with various stakeholders.
- Organisation and planning.
- The use of financial management systems.
- Finance administration and project financial related matters.
- Financial reporting and analysis and a sound understanding of budgeting procedures and methodologies.
