Newcastle Anglican are looking for a seasoned Executive Assistant for both Executive Director NDIS & Community and Executive Director Family & Community Services. This is a Permanent Full Time vacancy.

About the Role
  1. Act as the first point of contact for the Executive Director including managing enquiries and responding on their behalf when required.
  2. Organise meetings and correspondence for the Executive Director and their team, including coordinating responses and following up outstanding matters.
  3. Research, analyse, collate, and provide information to the Executive Director and their team to support informed decision-making and planning.
  4. Help develop, implement, and evaluate administrative practices, systems, and procedures to improve efficiency and quality outcomes.
  5. Effectively manage the Executive Director's meetings, appointments, records, and correspondence.
  6. Schedule, organise, prioritise, and attend meetings as required to provide support.
  7. Maintain a collaborative relationship with the Executive Assistant to the Bishops to facilitate open communication and information sharing between the Bishop's office and the Executive Leadership Team.
  8. Prepare and review communications ensuring timely delivery and accuracy to meet the Executive Director's requirements, including board reports, agendas, minutes, and email communications.
  9. Handle confidential matters with discretion.
  10. Coordinate business-related travel and conference/seminar attendance focusing on cost-effective and time-efficient solutions.
  11. Participate in relevant professional networks and forums.
  12. Provide coverage where required for the Executive Assistant Team.
About You
  1. Certificate IV or higher in Business Administration or equivalent qualification.
  2. Current driver's licence.
  3. A current Working with Children check or willingness to obtain.
  4. A current NDIS Check or willingness to obtain.
  5. National Police Check (Newcastle Anglican will consider the relevance of any reported outcomes).
  6. 5+ years of experience at a senior executive assistant level.
  7. Proven ability to build effective relationships with employees, volunteers, and other stakeholders.
  8. Advanced computer skills including keyboarding speed and accuracy, as well as in-depth knowledge of MS Office Suite.
  9. Comprehensive knowledge of executive office administrative practices and procedures.
  10. A high level of discretion to handle highly confidential and sensitive information.
  11. Proven adherence to legislation, policies, and procedures.
  12. Meeting coordination and facilitation skills.
  13. Expertise in travel/conference bookings and management.
  14. Strong diary management skills for multiple stakeholders.
  15. Experience with researching and supporting document collation.
