About the Role
This role provides high-level executive support to our senior leadership team while managing daily operations of a busy office supporting 25+ staff. The role reports to a central national administration group, but here in Perth, you will be key to ensuring smooth recruitment processes, compliance, and office administration.
This diverse role includes recruitment coordination, executive support, document management, office support, and process improvement. We offer flexible start and finish times to suit your needs, approximately 25 hours per week.
Key Responsibilities
- Executive and Recruitment Support: Drive end-to-end recruitment, from job acquisition to candidate placement. Prepare candidate longlists, format resumes, and compile detailed reports. Conduct reference and background checks, schedule interviews, and manage digital assessments. Maintain recruitment documents, reports, and compliance records. Assist with panel interview coordination. Update databases, CRMs, templates, and reports regularly.
- Office and Operational Management: Oversee office supplies, meeting room bookings, mail handling, signage, and events. Ensure a safe, clean, and compliant work environment, including OHS support. Liaise with building management, cleaners, IT, and external suppliers. Lead onboarding for new staff, manage office systems, and maintain internal communication lists.
- Team Collaboration and Project Support: Collaborate with national teams to ensure seamless operations. Support the national administration team during staff leave to maintain continuity. Attend and contribute to monthly operational meetings. Identify and implement process improvements to enhance efficiency and quality.
Qualifications and Skills
- Proven experience in a senior administration or recruitment coordination role.
- Exceptional organisational and multitasking skills.
- Confidence in working across multiple platforms and managing high volumes of administrative tasks.
- Strong written and verbal communication skills.
- High attention to detail with a proactive approach.
- Collaborative team spirit and positive attitude.
- Familiarity with CRM systems and digital interview/assessment platforms is advantageous.
