The office of Sharon Claydon MP, Deputy Speaker of the House of Representatives and the Federal Member for Newcastle is seeking applications for a full-time, ongoing Executive Assistant based in the Electorate Office in Newcastle or at Australian Parliament House, Canberra. This role requires regular travel within the electorate and to Canberra for parliamentary sitting weeks and some non-sitting weeks.
Position overview
The Executive Assistant will support the Deputy Speaker with her parliamentary and electorate work by providing high quality administrative and logistical advice and support.
DUTIES
- Provide administrative support on priority, complex and sensitive public administration, program and logistical issues.
- Maintain effective relationships with the Speaker's Office, the Clerk's Office, the Table Office, the Prime Minister's Office, other Ministerial Offices, Electorate staff and the Australian Public Service on diary and other administrative routines and matters.
- Plan and execute travel, diary routines and programs during sitting and non-sitting weeks.
- Be the first point of contact for stakeholder, parliamentary and constituent meetings.
- Ensure that the resources of the portfolio Department are utilised to provide effective functioning of the Deputy Speaker's office, including ensuring the Deputy Speaker is briefed for key functions and events.
- Provide direct administrative and logistical support to manage the Deputy Speaker's time across multiple tasks and responsibilities – including her work as Deputy Speaker, Chair of the Federal Parliamentary Labor Party Caucus, and additional parliamentary and Caucus committees.
- Prepare, distribute and manage rosters for the Speakers Panel in the House of Representative and Federation Chamber – including liaison with relevant MP offices, and regular maintenance and distribution of updated speaking lists to both chambers on sitting days.
- Other duties as directed.
KEY SELECTION CRITERIA
- Demonstrated experience as an Executive Assistant in a demanding public, non-profit or private sector environment.
- Ability to work effectively and liaise with other Parliamentary and Ministerial Offices, the Australian Public Service, stakeholders and community organisations.
- Excellent communication skills and the ability to communicate to a variety of audiences.
- Demonstrated experience in working in a dynamic environment as part of a team.
- Developed knowledge of diary, travel and administrative systems.
- Working knowledge of the political process and the Australian parliamentary and political system.
- Demonstrated professional integrity and the ability to exercise discretion and maintain confidentiality.
- Demonstrated capacity for applying analytical and problem-solving skills in developing solutions for complex issues.
- Proven reliability in meeting deadlines and commitments especially in high pressure situations.
EMPLOYMENT CONDITIONS
This position is offered under the Members of Parliament (Staff) Act 1984 and conditions are outlined in the Commonwealth Members of Parliament Staff Enterprise Agreement 2024-27 which include:
- A commencing salary between $71,807 and $84,933 will be negotiated depending on experience and relevant skills.
- An additional Personal Staff Allowanceof $27,710 is payable in recognition of, and as compensation for, reasonable additional hours of work.
- The above salary and allowance are subject to a pay increase on 5 August 2025.
- Relocation assistance, studies assistance and paid study leave may also be available (subject to eligibility requirements).
- An employer superannuation contribution of 15.4% will be payable.

- An initial probationary period of three months may apply and may be subject to extension.
- The successful applicant may be required to undergo a National Police History Check.
- This role often requires work (including travel) beyond standard business hours and on weekends, which is recognised by an allowance.
- The successful applicant will be required to comply with their obligations under the Behaviour Codes and Standards and play a key role in supporting the Deputy Speaker in her work on all matters relating to Parliamentary Standards.
- Staff may be subject to automatic cessation triggers in accordance with Section 14 of the MOP(S) Act.
