Based at our Geelong Yarra Street Campus, we are looking for a Student Journey Coordinator to join the VFA Learning team.

A Student Journey Coordinator's Day can involve:

  • Facilitating the enrolment process, ensuring compliance with regulatory and institutional requirements.
  • Assisting prospective students with admission requirements, documentation, and Letters of Offer.
  • Guiding students through enrolment finalisation and orientation processes.
  • Coordinating onboarding activities to integrate students effectively into their learning journey.
  • Maintaining the required data systems and processes relevant to delivery of each program, including VETtrak Student Management System, Skills Victoria Training System (SVTS), TCSI.
  • Configuring VETtrak to ensure data reporting for each of the programs and contract requirements.
  • Coordinating the enrolment of students onto VETtrak Student Management System and Learning Management System (LMS).
  • Compliance check enrolments to ensure correct information entered (e.g., funding sources, concessions, funding models, etc.).
  • Maintaining regular communication with students to provide support, guidance, and resources.
  • Monitoring student progress and intervening when necessary to enhance retention and reduce attrition rates.
  • Following the Student Withdrawal Process to ensure all requirements are met.
  • Collaborating with trainers, student support services, and academic teams to address challenges impacting student success.
  • Developing engagement strategies to foster a sense of belonging and motivation.
  • Identifying and supporting students at risk of disengagement or non-completion.
  • Facilitating access to academic and personal support services.
  • Tracking student progress and providing timely interventions to ensure successful course completion.
  • Assisting with graduation processes, ensuring students have met all requirements.
  • Maintaining accurate and up-to-date student records in accordance with compliance and reporting requirements.
  • Ensuring adherence to VET sector policies, procedures, and legislative requirements.
  • Generating reports on student retention, engagement, and completion metrics.
  • Participating in weekly meetings to identify upcoming unit completions, discussing any student issues or reporting issues.
  • Ensuring data submitted in relation to each contract is supported by the required evidence.
  • Ensuring all forms are completed correctly and evidence provided (for government funding) and copied for file (i.e., proof of identity and age).
  • Ensuring that Training Plans for Trainees and VET in Schools (VETIS) students are signed by all parties (student/RTO/Employer/School) within required timelines of the date of the training contract and prior to the student commencing training. A copy of the training plan must be given to all parties and placed upon the student's file.
  • Ensuring Training Plans for all students have been signed by students and VFA Learning representative.
  • Liaising with the Training Manager and Head of Nursing to ensure that training is being delivered as per timetable for all qualifications whilst compliance is maintained throughout the program.
  • Contributing to continuous improvement initiatives within student services.
  • Ensuring student feedback schedule is followed.
  • Ensuring AQTF completion survey requirements are met.
  • Reviewing and summarising student feedback and preparing reports for Training Manager.
  • Ensuring student files are complete against the student file checklist prior to filing.
  • Conducting quarterly audits on site of student files for all VFA Learning contracts and programs to ensure the required evidence has been collected.
  • Auditing students for evidence of participation in line with claims made to SVTS.
  • Performing general administration activities including word processing, filing, answering phone and assisting with other duties as required.
  • Sharing information and solutions with members of the team if discrepancies in site processes are identified.
  • Responding within 2 working days to any requests from other parts of the organisation.
  • Escalating to Quality and Compliance Manager or Training Manager any unresolved requests sent to other staff.

  • Have a current driver's licence and a comprehensively insured vehicle.
  • Complete an Australian History Criminal Check.
  • Must have a current Working with Children Check.
  • Ability to work Monday to Friday - 8:30am to 5:00pm.
