We're Venue Smart, a fintech company with a growing national network. Based at our Varsity Lakes head office, this is a predominantly office-based role where you'll work closely with our executive team. With the business scaling rapidly, we're looking for someone who thrives in a dynamic environment and is excited to play a hands-on role in helping us grow.

About the role

As our Executive Administration & Office Coordinator, you'll be the go-to person keeping our exec team and office running smoothly. From managing calendars, meetings, and presentations to coordinating franchisee onboarding and office operations, no two days will be the same. You'll also help build the systems, templates, and ways of working that will set Venue Smart up for the future.

A snapshot of what you'll be doing:

Supporting executives with calendars, meetings, presentations, reports, and events.

Coordinating franchisee onboarding, liaising with lawyers, and making sure compliance requirements are met.

Managing SharePoint, document processes, and templates — creating structure where we need it most.

Running the office day-to-day: supplies, visitors, kitchen, meeting rooms, maintenance, and keeping things professional.

About you

We're looking for someone who:

Has experience in executive administration or office coordination (ideally with exposure to compliance or membership/franchise environments).

Enjoys variety and thrives on keeping people and systems organised.

Can build new processes and ways of working, not just follow them.

Is proactive, approachable, and self-motivated — someone who just gets on with it.

Works well in a head office environment, while being part of a much larger business footprint.
