Position Title: Venue Booker & Artist Relations Coordinator

Reports To: Group Entertainment Manager

Employment Type: Casual

Venue(s): Beach Hotel Byron Bay / Great Northern Hotel

Position Overview

We are seeking a passionate and well-connected Venue Booker & Artist Relations Coordinator to join our entertainment team. This role is central to the successful curation and execution of our live music programming, balancing the discovery of local talent with hands-on support for national and international artists. You'll work closely with the Group Entertainment Manager to maintain a dynamic calendar of performances and ensure a seamless experience for all artists, from initial outreach to showtime. You'll also work closely with Venue Management Teams to deliver key experiences.

Key Responsibilities

Talent Booking & Programming

• Research, source, and book emerging and established local acts across various genres to suit weekly programming.
• Maintain strong relationships with local booking agents, promoters, and artists.
• Assist in programming seasonal and special event lineups in line with the venue's brand and audience.
• Negotiate fees and prepare booking agreements.
• Coordinate with marketing and venue staff to ensure accurate event listings and promotional material.
• Work closely with the Operations team to obtain constructive feedback on artist performance & scheduling and action accordingly.
• Act as a point of contact for artists and their teams in the lead-up to and on the day of larger events.
• Oversee hospitality requirements.
• Ensure artists are welcomed on-site, briefed, and supported throughout their performance.
• Work with production teams to meet artist needs and venue standards.

General & Administrative

• Maintain a bookings database and event calendar.
• Work with the production team to build worksheets for internal & external distribution.
• Contribute to post-show reporting, feedback collection, and continuous improvement of artist experience.

Key Skills & Attributes

• Strong knowledge of the local and national live music landscape.
• Excellent communication and interpersonal skills.
• Highly organised with strong time-management and multitasking abilities.
• Calm under pressure and confident working in high-energy event environments.
• Proficient in using booking and scheduling tools (e.g., Excel, Office 365, or similar).
• A problem-solver who can think quickly and adapt as needed.
• Prior experience in live music booking, talent management, or venue operations.
• Existing network of artist and industry contacts.
• Understanding of production and technical requirements for live shows.
• Experience in artist relations or tour management is highly regarded.

Working Hours

This role requires flexibility, including evening and weekend work to coincide with event schedules and artist needs.
