Wedding and Events Coordinator

Willoughby City Council, New South Wales, Australia SRG Hospitality Full-time $60,000 - $90,000 Contract

SRG Hospitality | Sydney | Multi-Venue Portfolio

SRG Hospitality is entering its next chapter of growth.

With 15 venues across Sydney and expansion underway toward 20, we deliver thousands of events every year — from waterfront weddings and milestone celebrations to large-scale corporate experiences across some of the city’s most recognised hospitality destinations.

We are looking for a coordinator who loves the detail and emotion of a wedding, and is equally at home planning a 200-guest corporate dinner.

Why This Role Matters

At SRG, events are not transactions. They are moments that feel personal, generous and deeply human — and none more so than a wedding.

We are a restaurant group, not a hotel group. Every event we deliver runs inside a trading venue, out of a kitchen that is running à la carte service at the same time. That is what makes coordination detail matter so much here: there is no banquet floor to absorb a mistake.

This role sits between the sale and the service. You take an event once it is won and build it into something the operations team can deliver flawlessly — the menus, the run of day, the function details, the supplier logistics, and the client relationship that holds it all together.

Weddings will be a significant part of your portfolio. So will corporate and social events. That is deliberate. We want a coordinator who is drawn to weddings but thinks holistically across the whole events business.

What You’ll Be Responsible For

Wedding Coordination

Own the wedding client relationship from post-sale through to final planning handover. Weddings are high-touch by nature — couples expect responsiveness, warmth and absolute accuracy, often across a planning window of twelve months or more. You are the person who holds every detail and never lets one slip.

  • Manage the client relationship and communication rhythm across the full planning journey
  • Build menus, timelines and run of day in partnership with the venue and kitchen
  • Coordinate ceremony, reception, styling and supplier requirements
  • Run planning meetings, site visits and final detail confirmationsPrepare the handover into Events Operations so that delivery day needs no translation

End-to-End Event Coordination

Coordinate corporate and social events from post-sale through execution planning — ensuring every event is documented, accurate and ready to hand to the delivery team.

  • Prepare and manage event orders and function details end to end
  • Confirm menus, beverage packages, floor plans, AV, accessibility and access requirements
  • Liaise with suppliers, contractors and external partners
  • Track changes through to final confirmation and communicate them clearly to every party
  • Manage post-event reconciliation and close the loop with the client

Detail, Documentation and Systems

This is a coordination role, not a sales role. The value you add is precision — every menu, every dietary, every timing and every change captured accurately and passed to the people who need it.

  • Maintain accurate, current records across every booking in your portfolio
  • Produce event documentation to a consistent group standard, not a personal one
  • Ensure the handover document is complete and unambiguous before it reaches the floor
  • Keep administrative work current rather than letting it bank up behind a busy week

Working Across the Portfolio

We are building toward venue-agnostic coordination — a team that can pick up any event at any venue rather than being tied to a single site. It means workload is shared properly, clients are never waiting on one person, and you get exposure across the entire group.

  • Coordinate events across multiple SRG venues rather than a single location
  • Step in when the team is at capacity or a coordinator is on leave
  • Maintain continuity so every client experiences one consistent standard
  • Contribute to the shared templates, playbooks and ways of working as the team scales

You are not carrying a sales target, but you protect the commercial outcome of every event you touch.

  • Uphold F&B minimums, package inclusions and agreed terms
  • Identify genuine upsell opportunities through the planning journey
  • Understand displacement — an event occupies space the restaurant would otherwise trade
  • Ensure accuracy from booking through to final invoicing

Who You Are

You are drawn to weddings — the emotion, the detail, the weight of getting it right — but you are just as engaged by a corporate dinner or a milestone birthday.

You thrive in environments where:

  • Timing matters.
  • Responsiveness matters.
  • Volume is real.
