About the Role

The CFA has a part-time ongoing opportunity for a Business Support Officer to join the Fire Risk Research & Community Preparedness Team. You will have accurate and demonstrated skill sets and be capable of working independently and proactively to provide effective, efficient, and comprehensive administrative support and coordination.

This is a part-time 0.5FTE (19 hr week) ongoing opportunity based at our regional HQ in Bendigo.

Key responsibilities of the role will include the following:

  • Efficient Administration: Ensure effective management of administrative functions, prioritising tasks for management and staff.
  • Client Liaison: Act as the first point of contact, maintaining professionalism, confidentiality, and diplomacy.
  • Document Management: Oversee reports and documentation, ensuring proper retention and accessibility within record systems.
  • Document Preparation: Prepare correspondence, presentations, reports, and briefing notes, including research and data analysis.
  • Networking: Build and maintain effective relationships with internal and external stakeholders.
  • Diary & Travel Management: Coordinate schedules, meetings, appointments, and travel for managers and staff.
  • Meeting Support: Provide secretarial services, including agenda preparation, minute-taking, and follow-ups on action items.
  • Financial Tasks: Handle basic financial transactions, including purchase orders, ensuring compliance with organisational standards.
  • System Improvement: Develop and enhance local processes and systems to optimise efficiency.

About You

Our ideal candidate will be able to demonstrate the following:

  • Relevant senior administration experience within a large and/or complex organisation.
  • Excellent communication and interpersonal skills, with demonstrated ability to develop and maintain strong and cooperative relationships with internal and external stakeholders.
  • Superior organisational and time-management skills with an ability to manage and coordinate a range of office functions and projects.
  • Ability to work proactively, with minimal supervision and direction and as part of a team.
  • Ability to source and analyse information to develop professional documents and reports.
  • Exceptional computer literacy skills particularly in Microsoft Office.
  • Demonstrated ability to initiate and manage business improvements.
