
Receptionist & Office Administrator

The Receptionist & Office Administrator is an office-based role and is required to be fully onsite. This role is the first point of contact for Export Finance Australia, interfacing with members from all levels of the organisation as well as the public. It is responsible for the seamless management of the reception desk by greeting clients, maintaining external meeting and shared spaces, and coordinating office administration. It includes facilitating event and meeting coordination, processing of couriers and coordinating office supplies.
- Maintain a professional reception environment, providing a great first contact experience for all internal and external stakeholders.
- Build and develop effective client and stakeholder relationships across multiple levels of the organisation.
- Assist with central switchboard duties and external visitor registration processes.
- Assist internal stakeholders with meeting room setup and ongoing servicing.
- Maintain a clean and safe workspace, including meeting rooms, and comply with workplace health and safety policies.
- Handle collection, processing, and distribution of incoming and outgoing mail and courier deliveries.
- Maintain the professional appearance of the work environment including the kitchen area, pantry supplies, office supplies and stationery.
- Coordinate general administrative tasks including scheduling meetings, internal events and catering.
- Procure and manage stock of office supplies and pantry items.
- Diary management, calendar appointments, travel arrangements and minute taking.
- Assist interstate offices with necessary office supplies.
- Corporate reception and/or administration experience, ideally in financial or professional services environments.
- Strong written and verbal communication skills with the ability to influence at all levels.
- Motivated and flexible, with accountability for the smooth running of the office.
- Excellent time management and organisational skills with attention to detail.
- High emotional intelligence and rapport skills.
- Integrity and ethics with the ability to maintain confidentiality.
- Autonomous with some oversight; comfortable owning tasks and initiatives to drive completion.
