Opporutnity for a Exectutive Assistant, Board Administrator to join a top 50 ASX listed diversified investment house with a rich history of delivering outstanding shareholder returns and fostering a values-led culture built on integrity, initiative, and accountability. This is an exciting opportunity to support the governance function of a business renowned for its resilience and long-term success.

This newly created part-time role (0.5 FTE) will see you reporting to the Company Secretary, providing essential administrative and governance support to the Board, its Committees, and key Management Committees.

Key responsibilities:

  • Support the preparation, formatting, and distribution of high-quality Board and Committee materials – including agendas, reports, and minutes – in close coordination with the Company Secretary and internal teams.
  • Maintain statutory registers, corporate records, and governance documents with a high degree of accuracy and organisation, ensuring they are consistently up to date and easily accessible.
  • Own the logistics and scheduling of Board, Committee, and Management meetings, including calendar coordination, drafting invitations, managing room bookings, and preparing packs.
  • Track and action compliance requirements and routine filings, including preparation and lodgement of ASIC documents, following up on outstanding items, and assisting with Director and officer declarations.
  • Manage governance systems and platforms (e.g. Diligent Entities, Diligent Boards) by uploading content, maintaining user access, troubleshooting issues, and supporting users as needed.
  • Coordinate with external stakeholders and service providers such as share registries, legal advisors, and auditors, ensuring timely provision of information and responses to standard requests.
  • Provide administrative support to governance projects and process improvements, with a focus on efficiency, consistency, and best-practice compliance.

About you:

  • Proven administrative experience in a detail-oriented environment, ideally within corporate, legal, compliance or governance functions.
  • Highly organised with exceptional attention to detail
  • Confident preparing, reviewing and formatting professional documents and reports
  • Skilled at managing complex scheduling, meetings and logistics
  • Discreet and professional in handling confidential matters
  • Proactive and reliable, with a focus on improving processes and supporting the team
  • Experience with Diligent or similar governance systems, and exposure to governance or company secretariat work, including Board processes, regulatory filings or ASX-listed environments, is desirable
