Role ObjectiveThis is a central role within the team leading on key tasks across the finance and communication needs of the organisation along with general office and administrative support. The objective is to provide accurate and timely administrative activity within this role which supports the team in delivering an effective and impactful programme of activity.
BackgroundDwellbeing Shieldfield is a Charitable Community Benefit Society which operates as a co-operative. We have a mix of employed and sessional workers and volunteers who work across different activities and working groups. We are organised around a flat structure, so there is no 'boss' and no line management. Our employees are called 'Worker Members' to differentiate from 'Members' of the Community Benefit Society. All Worker Members are paid at the same rate. We all share responsibility and try to support each other to develop our strengths within the resources we have available to us.
The main focus of this role is to support the finance and communications functions across the team. This is in addition to supporting colleagues with more general administrative aspects of delivering programmes where agreed.
This part-time role is funded for 18 months with the possibility of extending beyond, dependent on funding. Payment is £13.68 per hour, increasing to £14.26 per hour in April 2026.
Main Duties and ResponsibilitiesFinance- Maintain accurate and up to date financial records using QuickBooks.
- Process all income and expenditure including invoicing, payments and reconciliations.
- Reconcile bank transactions with bank statements and QuickBooks data.
- Assist in the preparation of annual budgets and forecasts.
- Support the Organisational Development Worker to generate financial reports for internal use (e.g budget vs actuals) and external stakeholders (e.g grants).
- Support the annual audit process, providing necessary. documentation and information.
- Prepare payroll notifications, maintain payroll records and work with the Organisational Development Worker to process wages.
- Be a primary contact answering general enquiries and signposting to other workers and / or Stewards where appropriate.
- Lead on updating social media, updating the website and organising the e-bulletin with content provided by Programme and Organisational Development Workers. Support volunteers who help update or engage with social media as appropriate.
- Lead on non-digital communications including printing of Dwellbeing regular bulletin and supporting the Community Bees with distributing to members through cafe, notice boards, member walks, meetups or doorstep delivery.
- Organise translation or support decoding of documents where appropriate / where needed.
- Purchase materials and resources as requested.
- Maintain office equipment and supplies.
- Assist with inductions of new workers (e.g setting up IT, training).
- Support scheduling of and attend team meetings.
- Process membership applications and maintain membership database.
- Attend team meetings (bi-monthly) and 1 : 1s with colleagues as required.
- Maintain records of Dwellbeing activity (paper and digital files) for monitoring and evaluation purposes.
- Maintain DBS checking process.
Skills and experience we are looking for
- Experience with financial record keeping and basic accounting principles
- Proficient in using accounting software
- Experience of a communications role in a community setting to encourage participation in community activity
- Experience of working in flat organisational structure
- Experience of working in a co-operative and / or community / charity setting
- GCSEs (A* to C) in English and Maths
- Or NVQ Level II in Business Administration
- Or equivalent experience of working as an administrator or business support officer
- AAT qualifications
- Excellent computer skills including the use of Microsoft Office and / or Google Drive in areas of file management; word processing; spreadsheets; database; email; Zoom; cloud storage etc.
- Skills in QuickBooks accounting software
- Skills in Social Media (Facebook, Instagram) to communicate effectively
- Experience of updating websites using content management systems
- Skills in using Squarespace
- Skills in using Mailchimp
- Comfortable making decisions and working independently
- Ability to give good attention to detail
- Excellent team working skills
- Be able to work collaboratively and be self-directed
- Calm and methodical in responding to competing demands
- Excellent communicator
