Personal Assistant (PA)/ Executive Assistant(EA)

Location: Yarraville, Melbourne

We're hiring a sharp, highly organised, and business-savvy PA/EA to support our Managing Directors. This is a role for someone who thrives in fast-paced environments, sees ten steps ahead, and wants to contribute meaningfully to the success of a growing healthcare business.

You'll be the linchpin that keeps our leadership moving smoothly, clients supported, and team operations flowing.

What You'll Be Doing

Manage calendars, communications, and daily operations for the Managing Directors

Coordinate meetings, travel, projects, and logistics

Act as the gatekeeper and liaison between leadership, team members, and external stakeholders

Assist with onboarding and credentialing

Oversee clinician rostering and client bookings

Manage inventory, invoicing, basic financials, and reporting

Support documentation, filing, and CRM data (Salesforce familiarity is a plus)

Lead and execute operational improvements and special projects

Provide frontline communication via email and phone

What We're Looking For

3+ years' experience as a Personal or Executive Assistant (ideally in healthcare, aged care, or professional services)

Confident communicator with high emotional intelligence

Exceptionally organised with great attention to detail

Technologically fluent (Microsoft Office, CRM platforms, email management)

Proactive, adaptable, and comfortable managing multiple moving parts

Reliable, trustworthy, and professional in handling confidential information

A "no task too big or small" mindset
