About the Role

The Operations Coordinator is responsible for managing the day-to-day functioning of the office, ensuring a professional, efficient, and well-supported environment for brokers, clients, and visitors.

The role acts as a central point of coordination across the branch, delivering high-quality office management, administrative support, and operational services that enable broking teams to focus on client outcomes. This includes overseeing workplace operations, coordinating broker support activities, and ensuring a seamless experience for both internal stakeholders and external clients.

The Operations Coordinator plays a key role in maintaining service standards, supporting client-facing interactions, and ensuring the smooth execution of operational processes, while also providing governance and coordination across business continuity, compliance, and branch operations.

Key Responsibilities:

  • Manage the day-to-day operations of the office, ensuring a professional, welcoming, well-maintained and efficient workplace.
  • Maintain effective office administration procedures and support the continuous improvement of office systems and processes, working closely with the Office Manager and Receptionist.
  • Coordinate office activities, meetings and events, acting as a key point of contact for staff, Executives, clients, visitors and external vendors.
  • Liaise with building management, cleaning contractors, Operations and Facilities teams to coordinate maintenance requirements and ensure the office remains safe, functional and professionally presented.
  • Plan and coordinate office events and activities, including the annual Christmas party, regular social activities, Town Halls, client and insurer meetings, and other corporate events.
  • Support front-of-house and meeting operations as required, including meeting room coordination, room set-up, catering, guest requirements, security passes, deliveries and office supplies.
  • Provide administrative and coordination support for Business Continuity Planning, Risk and Compliance activities, working under the guidance of the Risk and Compliance team.
  • Support workplace health and safety requirements and assist with office-related processes to ensure relevant policies and procedures are followed.
  • Build and maintain effective working relationships across the business and with external stakeholders, ensuring clear, timely and professional communication.

Qualifications
