Contract Administrator

GemLife is seeking an experienced Contract Administrator to join the Commercial Construction division of the business. Reporting to the Commercial Project Manager, you will play a key role working across multiple sites, delivering high-end commercial projects. You will be a vital member of the team, based at our Head office in Helensvale, working across a variety of projects.

About The Role

This role will provide a high-quality Contract Administration service across multiple projects during the pre and post-contract stages during Construction, and for the end-to-end commercial management of subcontracts, supply agreements and self-performed works whilst working to industry good practice and Australian Standards.

Duties will consist of but not limited to the following:

  • Assistance to Project Managers and assisting Project Manager in project coordination and program scheduling.
  • Working autonomously to write detailed Scope of Works and Construction Documentation.
  • Subcontractor and supplier procurement, including tendering and negotiating contracts.
  • Preparing and reviewing subcontractor agreements, variations, payment claims, invoices and payment schedules.
  • Prepare and maintain Procurement Schedules, Tender Analysis Reports, Budget Transfers, monthly progress claims and financial reports.
  • Monitor project budgets and financial reporting, assisting in cost control and forecasting.
  • Work closely with project teams to track project performance and manage risks.
  • Maintain strong relationships with clients, subcontractors, and suppliers.
  • Ensure all documentation is accurate, up to date, and aligned with project timelines.
  • Administer contracts and ensure adherence to legal and contractual obligations.
  • Ensure cost forecasting is accurately maintained, and cost issues are appropriately escalated upon identification.
  • Representing the company in public and professional interactions and meetings.
  • Assisting in preparation and management of project budgets and invoice processing.
  • Providing general Estimates as needed.

About You

A team player, you must be able to demonstrate that you are proactive in your approach, have great attention to detail and goal-oriented. Plus possess the following skills:

  • Ability to interpret general architectural, interior design, structural, building services drawings and specifications.
  • Experience in tendering projects.
  • Experience in the use of software packages in particular CUBIT estimating software, DataBuild cost management software, and Procore document management systems.
  • Sound knowledge of contract and commercial management principles, process and procedures.
  • Demonstrated understanding of financial reporting concepts.
  • Possess tertiary qualifications in construction management, quantity surveying or construction law.
  • 2 - 3 years' experience as a Contract Administrator.
  • Excellent communication and organisational skills.
