Overview

The Executive Support Officer is a key role within Lutheran Homes Group (LHG) and provides a high level of administrative and executive support to one or more Executive Managers. Reporting to the Executive Support Lead, this role ensures the efficient management of executive schedules, correspondence and stakeholder interactions, contributing to the effective governance and operations at LHG.

This position is essential in enabling senior leaders to focus on strategic priorities, ensuring that LHG continues to deliver high-quality aged care services that support the well-being, dignity, and independence of older Australians. The Executive Support Officer will also work collaboratively across teams to enhance operational effectiveness, streamline administrative processes, and support LHG's values-driven culture.

Key Responsibilities
  • Executive Assistance: Provide high-level executive support to the Executive Manager/s, ensuring daily operations run smoothly. Manage executive calendars, appointments and meetings, ensuring alignment with organisational priorities
  • Coordinate internal and external stakeholder meetings, including scheduling, agenda preparation, documentation collation and taking minutes with action items
  • Draft, review, and manage correspondence, including emails, reports, and briefing documents
  • Prepare board papers, reports, and presentations, ensuring accuracy and alignment with LHG's strategic objectives
  • Prioritise and triage incoming requests to ensure that executives focus on high-impact activities
  • Arrange travel logistics, including accommodation, transport, and itineraries, to support business activities
  • Organise meeting spaces, including room bookings, setup, technology support, and catering arrangements
  • Provide backup support to other executive team members when required, ensuring seamless support across LHG
  • Maintain strict confidentiality and professionalism in handling sensitive information
    • Stakeholder Engagement and Communication: Act as a primary point of contact between the Executive Manager/s and internal or external stakeholders
    • Develop positive working relationships with key stakeholders, ensuring smooth coordination of projects and initiatives
    • Communicate effectively on behalf of the executive team when required, ensuring clarity and professionalism
    • Maintain a strong understanding of LHG's strategic priorities to effectively support leadership decision-making
    Skills, Experience and Knowledge

Skills / Aptitude:

  • High degree of accuracy and attention to detail
  • Strong communication and interpersonal skills, capable of engaging with executives, colleagues, and external stakeholders
  • Strong verbal and written communication skills
  • High level of discretion, confidentiality, and professionalism in handling sensitive information. Ability to work autonomously and collaboratively, demonstrating initiative and problem-solving skills
  • Strong attention to detail, ensuring accuracy in documentation, reports, and correspondence
  • Ability to adapt to changing priorities and maintain composure under pressure
  • Strong ability to manage multiple stakeholders and foster productive relationships. Strong initiative and ability to work in a busy environment
  • Ability to work autonomously as well as work as a part of the executive support team
  • Strong time management, organisational skills and proven ability to manage pressure and competing demands
  • Strong teamwork skills and ability to build positive relationships with a range of stakeholders
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook

Experience:

  • Previous experience in an executive support role or equivalent, preferably in aged care, health, or not-for-profit sectors
  • Experience in coordinating complex schedules, high-level meetings, and preparing governance or board documents

Knowledge:

  • Knowledge of implementing and maintaining office policies and procedures
  • General understanding of workplace health and safety practices and maintaining safe working environments
