Oversees the safe receipt, storage, retrieval, and timely dispatch of goods, including accurate data entry into the company's computer software system. Ensures workplace health and safety requirements are met and is responsible for the security and maintenance of the building, plant, equipment, and stock.

Essential Duties and Responsibilities

Essential duties and responsibilities include the following. Other duties may be assigned:

  1. Maintains receiving, warehousing, and distribution operations by following, initiating, coordinating, and enforcing data entry, program, operational, and personnel policies and procedures.
  2. Ensures no stock leaves the warehouse except in accordance with company policy.
  3. Ensures a safe working environment for staff and compliance with all company policies and relevant legislation regarding workplace safety.
  4. Assists the company in improving and developing policies and procedures to enhance safety.
  5. Conducts monthly safety meetings, inducts and trains staff, maintains equipment, machinery, and tools, and ensures safety checks are performed as per procedures.
  6. Maintains safety registers, including meeting minutes, induction and training records, and equipment safety checks.
  7. Complies with federal, state, and local warehousing, material handling, and shipping legislation by studying and enforcing adherence, and advising management on necessary actions.
  8. Establishes and monitors security procedures to safeguard warehouse operations and contents.
  9. Controls inventory levels through physical counts and reconciliation with data systems.
  10. Conducts annual stocktakes, regular stock counts, adjustments, and allocations.
  11. Maintains warehouse physical condition by planning layouts, inspecting equipment, and managing repairs and replacements.
  12. Books repairs for equipment such as cranes and forklifts as needed.
  13. Ensures operational continuity by scheduling staff, following up on work, and performing warehouse duties when necessary.
  14. Motivates and organizes the workforce to meet productivity targets.
  15. Trains new staff and monitors their performance and progress.
  16. Communicates with other departments, staff, and customers effectively.
  17. Ensures delivery and budget objectives are met by reviewing supplier performance and pricing.
  18. Oversees material dispatch and receipt, conducts quality checks, and arranges transportation for deliveries.
  19. Maintains ERP system integrity by creating sales orders, purchase orders, delivery notes, invoices, and credit notes using Adempiere.
  20. Responds to customer communications via email, fax, and telephone.
  21. Prepares internal reports such as job costing, project registers, and job sheets.
  22. Adheres to company values and policies, demonstrating sound values and goal orientation.
  23. Defines problems, collects data, establishes facts, and draws valid conclusions.
