Position Description

JOB TITLE:

Receptionist /Administration

JOB DESCRIPTION:


The receptionist will provide a helpful and professional reception service and will contribute to the overall performance to our company by ensuring excellent customer service and effective and efficient work allocation.


TYPE OF EMPLOYMENT:

  • Managing Director and Operations Director_

LOCATION:

  • 116 Main Street, Croydon, Victoria 3136_

MAIN DUTIES / RESPONSIBILITIES:

  • Managing incoming telephone calls and ensuring that all enquiries are dealt with in a timely and efficient manner.
  • Meet and greet all clients and visitors and maintain the reception area.
  • Assisting in preparing and setting up conference/meeting rooms and group events.
  • Main point of contact for office facilities maintenance.
  • Carrying out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Assisting with client intake forms, quotations, drafting Service Agreements and capturing new client details in the system.
  • Administering and managing client shifts, staff rosters and ensuring clients shifts are maintained continuously.
  • Filing and updating clients and staff administration files.
  • General office duties as required.

QUALIFICATIONS:

  • Current Criminal Record Check and Working with Children Check.
  • NDIS Worker Screening Check
  • Certificate lll/IV in relevant areas

EXPERIENCE:

  • Experience in a reception/guest relation role in an office environment.
  • Knowledge of continuous quality improvement principles

SKILLS:

  • Strong customer service skills and ability to remain calm at all times.
  • Proactive, enthusiastic and ability to multitask.
  • Professional phone manner.
  • A selfstarter and ability to work independently.
  • Strong time management and ability to prioritize.
  • Ability to use Microsoft Office suite of programs and other computer systems for record keeping.
  • Ability to work as part of a team and maintain good working relationships.

Job Type:
Part-time

Part-time hours: 32 per week

Salary:
From $28.00 per hour

Schedule:

  • 8 hour shift

Supplemental pay types:

  • Overtime pay

Ability to commute/relocate:

  • Croydon, VIC 3136: Reliably commute or planning to relocate before starting work (required)

Experience:

  • MS Office: 1 year (preferred)
  • Customer service: 1 year (preferred)
