About the Role:
As a member of the administration support team for the Episcopal Offices, you will provide essential office and administrative support in a dynamic and busy environment. A key responsibility of this role includes welcoming and greeting visitors to the Episcopal Offices, as well as arranging appropriate hospitality. Additionally, you will manage most of the incoming correspondence and filing.

Our team operates in a highly professional and dynamic environment, where the nature of the work goes beyond typical secretarial duties. This role requires a polished and resilient individual who can navigate complex and sometimes challenging situations with grace and discretion.
Work Environment:

  • Professional Setting: Professional business attire is required at all times.
  • High-Level Interactions: You will frequently interact with senior figures, including VIPs, board chairs, , and parishioners.
  • Respect for Space: The role is situated in a Catholic context, necessitating comfort and respect for the environment.
  • Handling Complaints: The role involves being the first point of call for complaints.
  • Close-Knit Team: You will be part of a small, supportive, and closely connected team.

Job Responsibilities:

  • Greet visitors to the Episcopal office warmly and professionally.
  • Receive phone calls, answer queries, and redirect callers as appropriate.
  • Process incoming and outgoing mail efficiently.
  • Maintain and ensure various databases are updated accurately.
  • Maintain confidential files and documents securely.
  • Provide support to the Executive Assistants as needed.
  • Create a welcoming atmosphere for all office visitors.
  • Exercise appropriate discretion and maintain confidentiality

About you

  • Minimum of two years' experience in administrative work.
  • Excellent communication skills, including strong interpersonal and hospitality abilities.
  • Exceptional organizational skills with a keen attention to detail, demonstrated by the ability to complete tasks efficiently in a fast-paced, complex environment.
  • Proficiency in computer skills, particularly with the Microsoft Office Suite and file-sharing systems.
  • A broad understanding of and commitment to the mission of the Catholic Church in Brisbane.
