Event Executive to join the team on a
Full-Time basis Please be advised this role requires

JOB SUMMARY
Responsible for all aspects and functions of the Event Management Department; focus on Groups and Corporate Events, coordinate/manage all details with client requests from Sales Phase to Post Event Phase, maintain high standards of service; deliver products and services to meet or exceed the needs and expectations of the guests and employees.
Education and Experience
High school diploma or GED; 2-year experience in the event management, food and beverage, or related professional area.
CORE WORK ACTIVITIES
Supporting Event Services Operations
- Ensure room sets are "on time" and meet Event Service Standards.
- Have thorough understanding of Event Management processes (How Work Gets Done) to ensure seamless handling of all groups.
- Become familiar with any assigned sales file, review contract, and discuss profile on group with the appropriate sales meeting.
- Contact the client/meeting planner by phone for an introduction.
- Customize selling approach to the client's/meeting planner's needs to maximize sales.
- Knowledge of food and beverage programs; ability to tailor them to fit client's needs.
- Always ready to anticipate client and guest needs well in advance.
- Use only hotelapproved vendors.
- Acts as a liaison between client/meeting planner and hotel operations.
- Always maintain a professional image both in appearance/attire and conduct when dealing with the client meeting planner and hotel employees.
- Demonstrate appropriate timeliness in getting proposals to client/meeting planner.
- Return all phone calls the same day.
- Constantly communicate with all other department heads both verbally and in written form.
- Distribute all BEO and Group Resumes no later than 10 days prior to the group's arrival.
- Ensure all information is detailed, correct and all billing arrangements are specified.
- Adhere to mandatory attendance at the BEO/Resume Meeting when a group is inhouse.
- Follow up on all changes, deletions, additions, and special requests.
- Adhere to hotel policies and procedures.
- Oversee all assigned group functions when they are inhouse.
- Maintain costs and hotel labor.
- Keep the DOSM / DOFB informed of any complaint or problem. Resolve function space concerns well in advance of group arrival.
- Make sure that all billing is correct and current prior to a group's departure; no adjustments to the Master account.
- Work within each group's budget when required.
- Provide the highest standards of service without sacrificing quality.
- Provide a problemfree experience for our clients and to be known as the best company with which to do business.
- Always meet and exceed client's/meeting planner's expectations.
- Extend teamwork and lateral service when needed.
Secondary Job Functions: 20%**- Requisition supplies.
- Keep abreast of current market trends and research competitors.
- Conduct Site Inspection during Sales Phase.
- Assist in providing lateral service to departments in need.
- All other assignments as requested by the Manager.
