Overview

We are seeking an experienced Administrative Assistant for an exciting contract until 21 July 2023 located in Sydney. $33.00 p/h plus super, 7 hours per day, 35 hours per week.

Primary Purpose of the Position


The Administrative Assistant is responsible for providing administrative support to the Chief Magistrate, other judicial officers and the Executive Officer including switchboard operation, general filing, mail and other administrative tasks to meet the needs of clients.

Key accountabilities/responsibilities


Provide administrative support to the Chief Magistrate's Office including management of mail and inter office correspondence, maintain information and records management to support the efficient business operations.

Provide switchboard operation and respond to telephone enquiries from clients and provide a timely and effective information and referral service and greet guests on behalf of the Chief Magistrate and other Office functions in a professional and responsive manner to maintain the professional image and provision of high-quality client service.

Prepare routine correspondence and ensure accuracy and formatting in line with Departmental and Chief Magistrate's requirements and manage all mail and inter office correspondence.

Coordinate travel, catering and other hospitality arrangements for the Chief Magistrate and other Office functions as required.
Perform word processing, data entry and maintain electronic and file records.

Seek advice and guidance from more experienced staff when dealing with enquiries or issues that are more complex or difficult in nature.

Assist in relevant projects including research and liaison with stakeholders.

Key challenges


Managing the reception area effectively whilst balancing a range of other tasks ensuring attention to detail and a timely service that responds to the needs of the business centre clients.

Effective communication at all levels in a variety of situations including with both internal and external stakeholders.
Adapting to frequent change to workload and processes.

Demonstrated high standard of professional client service and administrative support.
