Job Description:

TOMRA is seeking an experienced
Administrative Assistant to join our team at our main office in
Castle Hill, Australia.
As the Administrative Assistant, you will be responsible for efficiently managing the day-to-day administrative operations of our business.


Reporting directly to the Managing Director, you will provide comprehensive support in various areas, including general administration, facility management, marketing and sales support, OH&S, and local IT support.


Responsibilities:

Facility and General Administration Tasks:

  • Manage the front desk, including handling incoming calls, external visits, deliveries, and maintaining the vehicles register.
  • Oversee facility maintenance, security systems, invoice handling, and order and restock stationery.
  • Ensure the maintenance and restocking of the kitchen.
  • Assist with filing, scanning, and photocopying as needed.
  • Coordinate cleaners' schedules and ensure office cleanliness.
  • Organize and coordinate office events such as Christmas parties, birthdays, and BBQs.
  • Provide secretary support to the Managing Director, including minutetaking, action items, scheduling meetings, and record keeping.

Marketing and Sales Support:

  • Assist with trade show stands, including layouts, promotional items, and coordination with exhibit companies.
  • Arrange trade show bookings and deliveries of materials, both domestically and internationally.
  • Support marketing teams by assisting with advertisements, marketing materials, and printing of brochures and business cards.

IT Local Support:

  • Source and purchase mobile phones and other IT equipment.
  • Audit and maintain computer hardware to ensure functionality.
  • Serve as a contact person for our Global IT Team.

OH&S Responsibilities:

  • Schedule, coordinate, and administer OH&S training sessions for employees.
  • Ensure compliance with OH&S regulations, policies, and procedures.
  • Act as a contact person for HSE reporting to Germany.

Qualifications:

Proven work experience (3+ years) as an Office Administrator, Administrative Assistant, or similar role.

  • Proficiency in Microsoft Office Suite and other relevant software.
